About The Position

The Resort Events Manager is responsible for planning, coordinating, and executing a variety of events at a year-round ski, golf, bike, and lake resort in line with the strategic direction provided by the Director of Marketing. These events may include large-scale competitions, festivals, concerts, and seasonal celebrations. This role ensures smooth operations, adherence to budgets, safety compliance, and delivers an exceptional guest experience. Familiarity with outdoor event logistics and the ski and resort industries, along with adaptability to varying weather conditions, is essential. ESSENTIAL DUTIES AND RESPONSIBILITIES Include the following. Other duties may be assigned: Event Conceptualization and Planning: Develop a balanced event calendar aligned with the resort’s brand and audience, including family, adult, recreational, and major seasonal events. Collaborate with departments like golf, mountain operations, and food & beverage to coordinate logistics. Create detailed timelines, budgets, and operational plans. Conduct impact analysis on events to ensure financial and experiential value for guests. Secure necessary permits and licenses for events. Vendor and Resource Management: Source and negotiate contracts with vendors, including caterers, entertainment providers, event rentals, and transportation services. Maintain strong vendor relationships and manage vendor payments. Ensure timely ordering of supplies (at least 60 days before events) and quality standards. On-Site Execution and Staffing: Oversee event setup and breakdown, including staging, decor, and equipment placement. Ensure compliance with safety protocols. Schedule appropriate staff coverage and clearly define roles. Attend events to oversee operations, address issues in real-time, and ensure guest satisfaction; if unavailable, coordinate management presence. Participate in occasional BEO and Marketing meetings to confirm event logistics and coordinate support needs. Marketing and Promotion: Collaborate with the marketing team to create marketing materials and promotional strategies to attract attendees. Work with the marketing and reservations teams to manage event registration and ticketing. Collaborate with the marketing team to promote events across various channels in alignment with marketing strategies. Financial Oversight and Reporting: Track event expenses and revenue, ensuring adherence to budget; communicate adjustments as necessary. Collect guest feedback post-event and report on performance metrics to highlight successes and areas for improvement. Represent in resort-wide meetings, providing updates on resort events. Safety, Compliance, and SOP Development: Establish standard operating procedures (SOPs) for event staff to clarify pre-, during-, and post-event expectations. Ensure compliance with safety regulations and emergency procedures, particularly for outdoor and large-scale events.

Requirements

  • Strong organizational and project management skills.
  • Excellent communication and interpersonal skills for interacting with clients, vendors, and staff.
  • Creative thinking to develop engaging and unique event concepts.
  • Budget management and financial analysis skills.
  • Proficiency in event planning software and Microsoft Office Suite.
  • Flexibility to work evenings, weekends, and holidays.
  • Comfortable working outdoors in a dynamic resort setting and exposed to varying weather conditions.
  • Ability to work in an office environment for planning and administrative tasks.
  • Fluent in English.
  • Ability to do basic arithmetic.
  • Ability to identify problems and derive possible solutions.
  • Frequent bending, climbing, kneeling squatting, twisting/turning from waist and pushing/pulling objects.
  • Will be working with hands and fingers, lifting and moving objects up to 40 pounds horizontally and vertically on a regular basis.
  • Near and far vision as well as good depth perception and color vision are important.
  • Frequent use of senses.
