About The Position

Provides five-star front desk service and administrative support to the Residential Tower team. Serves as the first point of contact for owners, residents, and their guests, assisting in maintaining the property to increase values and satisfaction. Works closely with the Residential Condominium Front Office Supervisor and Manager, and assists with various condominium association functions.

Requirements

  • Ability to read, listen, and communicate effectively in English both verbally and in writing.
  • Ability to follow payroll and key sign out procedures.
  • Comply with TIHTC work rules and standards per the associate handbook and as directed by Management.
  • Work harmoniously and professionally with co-workers and management.
  • Basic knowledge of residential condominium operations and condominium association Board of Director functions.
  • Excellent written skills sufficient to produce communications that properly reflect the Trump image.
  • Excellent oral communication and presentation skills.
  • Considerable ability to listen effectively.
  • Ability to interact and follow-up effectively with owners, residents, and vendors.
  • Ability to offer any assistance possible to guests.
  • Ability to work effectively both independently and as a team.
  • Ability to assist in the organization and completion of projects as directed by the Management team.
  • Ability to effectively deal with owners, residents, vendors, and associates, some of whom will require high levels of patience, tact, and diplomacy.
  • Ability to prioritize multiple requests and projects, and work effectively under time and resource constraints.
  • Successful experience in a customer service environment.
  • Experience in producing effective, concise, and professional correspondence.

Nice To Haves

  • Successful track record in the hotel or residential industry is a plus.
  • Administrative assistant experience is a plus.
  • Experience handling a high volume of incoming calls and interaction.

Responsibilities

  • Provides exemplary phone customer service for the residential tower.
  • Speaks with and responds to owners, residents, and visitors.
  • Effectively and courteously communicates residential tower rules, policies, and procedures.
  • Provides administrative support to the Management as needed.
  • Directs owners, residents, or visitors within the hotel or tower.
  • Assists in controlling the flow of traffic in the residential lobby.
  • Provides accurate and timely follow-up for all owner and resident requests.
  • Maintains Permission to Enter requests, assuring individuals requesting keys are legitimate and sign the keys both in and out.
  • Effectively communicates incidents or areas of concern to Management.
  • Offers an escort to residents, owners, and their visitors when they are entering with luggage, packages, and/or groceries.
  • Completes owner, resident, and visitor requests promptly and with exemplary customer service.
  • Greets all arriving individuals in a friendly, professional, and courteous manner, proactively asking if assistance is required.
  • Directs all owner, resident, and visitor requests to an appropriate party.
  • Assists handicapped residents and visitors as appropriate, maintaining an updated list of residents requiring assistance in case of an emergency.
  • Maintains a working knowledge of events and happenings within the tower and hotel.
  • Maintains compliance with Trump Corporation policies and procedures as well as Brand Standards.
  • Works closely with the Front Office Supervisor & Manager as requested.
  • Directs applicable inquiries from owners, residents, and their visitors to the Management team when necessary.
  • Responds properly to any emergency or safety situation.
  • Performs other tasks or projects as assigned by management.
  • Maintains front desk appearance, cleanliness, and efficient operational look.
  • Assists in processing owner and resident service requests via Alice.
  • Maintains accurate residential tower records and operational forms and logs via BuildingLink.
  • Prepares correspondence as necessary to the residential community for review by Management.
  • Assists Management with mass mailings of letters to unit owners.
  • Be familiar with all duties required to be performed by the Residential Tower team, as well as the restrictions.
  • Be familiar with residential departments and general functions.
  • Assists in maintaining the condominium association calendar of events.
  • Reports status of all pending projects and key issues/problems to Management.
  • Prepares and maintains shift/resident attention reports.
  • Assists in maintaining all directories, forms, etc.
  • Performs other assignments as requested.
  • Assists in opening doors for and escorting owners, residents, and their visitors.
  • Participates in and interacts with Hotel Operations, assisting as necessary.
  • Enforces Association rules and regulations in a professional and courteous manner.
  • Participates in corporate activities and meetings, as requested.
  • Assimilates into Trump Service Culture Standards through understanding, supporting, and participating in all elements of Trump's Service Basics.
  • Demonstrates working knowledge of the service standards.
