About The Position

The Data and Grants Manager provides administrative, data, quality assurance, compliance, and reporting support for Family Tree’s House of Hope and GOALS residential programs. This position is responsible for maintaining accurate program data and documentation, monitoring compliance with program and funding requirements, supporting grant reporting, conducting quality assurance activities, and ensuring that program processes and administrative systems remain current and effective. The Data and Grants Manager serves as a key partner to the Vice President of Homelessness Programs and the House of Hope and GOALS Program Directors. The position helps ensure that program leadership and staff have accurate information, clear processes, and the tools necessary to deliver high-quality services and meet contractual and funding expectations. This position provides the infrastructure, information, quality assurance, and compliance support that allows the programs to operate effectively.

Nice To Haves

Experience working in homelessness services, shelter, human services, or nonprofit programs.
Experience with HMIS, OneHome, Salesforce, or similar databases.
Experience with TANF or other publicly funded programs.
Experience with grant reporting, contract compliance, audits, and quality assurance.
Familiarity with homelessness systems, Continuum of Care programs, ESG, TANF, or related funding streams.
Bilingual English/Spanish skills.

Responsibilities

Monitor HMIS data for timeliness, completeness, and accuracy.
Conduct regular HMIS quality assurance reviews and identify trends or corrections needed.
Complete data reviews and provide feedback and coaching to program staff.
Conduct file audits and quality assurance reviews.
Identify documentation gaps and work with Program Managers and staff to resolve them.
Monitor data and documentation practices for consistency across House of Hope and GOALS.
Support accurate and timely entry and maintenance of program information in required systems.
Maintain and prepare TANF logs and related documentation.
Verify TANF Benefits with County Partners
Support preparation of grant and contract reports for Residential Services.
Gather, analyze, and organize program information needed for funder reporting.
Monitor reporting deadlines and communicate requirements to program leadership.
Assist the Program Managers in ensuring accurate reporting to funders and organizational leadership.
Track grant and contract deliverables and identify potential compliance concerns.
Help ensure House of Hope and GOALS comply with contractual and funding requirements.
Monitor program documentation and data against grant requirements.
Maintain awareness of reporting and documentation standards associated with residential funding sources.
Communicate compliance concerns to the Vice President of Homelessness Programs and Program Managers.
Assist with preparation for audits, monitoring visits, and funder reviews.
Maintain organized records supporting program and funding compliance.
Conduct regular OneHome data review and quality assurance.
Support staff training related to OneHome and applicable data processes.
Identify recurring data or workflow issues and recommend improvements.
Serve as a resource to staff regarding data systems and reporting expectations.
Track GOALS program outcomes and performance measures.
Maintain accurate outcome data and reporting tools.
Support leadership in monitoring progress toward program goals.
Develop or maintain tracking systems that make program performance easy to understand and monitor.
Identify trends, gaps, and areas requiring additional attention.
Maintain SharePoint resources and ensure current forms, processes, and administrative materials are accessible to staff.
Review and update program paperwork, forms, and administrative processes as needed.
Help create clear and efficient workflows for documentation and data management.
Maintain organized program records and administrative resources.
Identify opportunities to improve efficiency, consistency, and accountability.
Provide staff training related to data entry, HMIS, OneHome, file management, documentation, and reporting requirements.
Develop training materials and reference resources as needed.
Provide ongoing technical assistance and coaching regarding documentation and data quality.
Partner with Program Managers to identify training needs.
Support onboarding of new staff regarding data and file management expectations.
Work closely with the House of Hope and GOALS Program Managers to address documentation, data, workflow, and compliance issues.
Provide the Vice President of Homelessness Programs with accurate and timely information regarding program performance and compliance.
Collaborate with other Family Tree departments as needed to support reporting, data, compliance, and administrative requirements.
