About The Position

Provide high-level administrative and coordination support to the Residential Services Department. This role ensures the accuracy and integrity of clinical and program documentation, supports efficient communication across teams, and contributes to the overall effectiveness of residential operations.

Requirements

  • High School Diploma or Equivalent (copy required upon hire)
  • Valid New York State Driver’s License (copy required upon hire)
  • Yearly Physical (required within one month after hire)
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook)
  • Minimum of 3–5 years of administrative experience, preferably in healthcare, behavioral health, education, or human services
  • Demonstrated ability to maintain highly confidential information with discretion and professionalism
  • Strong organizational skills with exceptional attention to detail
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment
  • Strong written and verbal communication skills
  • Ability to work with a diverse population presenting a variety of cultural, socioeconomic, developmental and sexual identities. Must have the ability and willingness to establish and foster healthy and supportive relationships that acknowledge individual identities and encourage personal growth.
  • Must successfully complete all required background checks: NYS Statewide Central Register of Child Abuse and Maltreatment (SCR), Multi-State Sex Offender Registry (SOR), NYS Division of Criminal Justice Services (DCJS) fingerprinting, NYS Justice Center Staff Exclusion List (SEL), NYS OMIG Medicaid Exclusion List, Out-of-state child abuse register inquiry of any state in which the person resided within the last five years (if applicable), NYS License Event Notification Service (LENS), Office of Inspector General (OIG)
  • Must successfully complete Therapeutic Crisis Intervention (TCI)

Nice To Haves

  • Associate’s Degree in a related field
  • Experience supporting clinical, residential, or multidisciplinary teams
  • Experience with transcription, report preparation, or documentation support
  • Familiarity with electronic records systems or databases
  • Experience coordinating administrative workflows across multiple departments

Responsibilities

  • Prepare, format, and distribute a wide range of reports, correspondence, and documentation for Behavioral Health Clinicians, Family Services Coordinators, Case Planners, ILS Coordinators, and Cottage Managers
  • Maintain highly confidential electronic case records and databases for current and discharged residents with a high degree of accuracy and attention to detail
  • Transcribe psychiatric and psychological reports as needed
  • Serve as a central administrative support resource for residential and clinical team members, ensuring timely and accurate information flow
  • Answer and route incoming phone calls and respond to general inquiries in a professional and courteous manner
  • Distribute mail and support communication flow within the Residential Services Department
  • Follow established administrative protocols and support efficient departmental workflow and organization
  • Provide coverage at the switchboard as needed
  • Perform other duties as assigned by the Director of Residential Services or Office Manager
  • Adhere to and perform all duties in accordance with Agency safety standards, practices, and policies, including required safety training
  • Comply with all rules, regulations, policies, and philosophy of The William George Agency and the New York State Office of Children and Family Services
