About The Position

A Resident Specialist is responsible for leasing apartments and renewing leases while following the Compliance Guidebook. This role requires consistently providing exceptional customer service to applicants, residents, and vendors. The position involves mastering and following the Trinity method of leasing, demonstrating apartments and community amenities, and maintaining comprehensive knowledge of inventory and competition to effectively lease apartments. The Resident Specialist will explain lease terms, enter prospect information into Yardi, follow up with prospects daily, and process new lease applications and recertification files accurately and within specified timeframes. Compliance with Section 42 Tax Credit guidelines, company policies, Fair Housing Laws, and safety standards is crucial. The role also assists the Property Manager with staff supervision, motivation, and training, completes required reports accurately, and meets or exceeds monthly objectives.

Requirements

  • Communicate regularly and effectively with the Property Manager.
  • Maintain continuous communication with the Property Manager regarding new move-in and recertification files.
  • Maintain open, honest, and timely communication with residents regarding applications, tax credit recertifications, maintenance requests, and property concerns.
  • Ensure all commitments with residents are fulfilled and appropriate follow-up communication is provided.
  • Accurately record Maintenance Service Requests in Yardi.
  • Handle all resident complaints and concerns while maintaining professional and positive composure.
  • High school diploma or equivalent.
  • At least one year customer service experience required.
  • Communicate in English clearly and concisely – both orally and in writing.
  • Must have a reliable means of transportation, possess a valid Arizona Drivers license, and a clean driving record with personal auto insurance.

Responsibilities

  • Lease apartments and renew leases following the Compliance Guidebook.
  • Provide exceptional customer service to applicants, residents, and vendors.
  • Master and consistently follow all aspects of the Trinity method of leasing.
  • Perform "The Perfect Greeting" and demonstrate apartments and community per Trinity standards.
  • Maintain comprehensive knowledge of inventory, competition, and amenities to effectively lease apartments.
  • Review and explain lease terms and conditions with new leases.
  • Enter all prospect contact information in Yardi daily.
  • Follow up with prospects daily and record interactions in Yardi.
  • Achieve a minimum shop score of 80 or higher and show continuing improvement.
  • Process, complete, and submit all new lease applications to the Compliance Department within three to five working days.
  • Process, complete, and submit all recertification files to the Compliance Department no later than 30 days before the recertification due date.
  • Ensure accurate information and appropriate documents are provided and meet current Section 42 Tax Credit guidelines.
  • Understand and adhere to the Policies and Procedures Manual, Compliance Manual, Fair Housing Laws, Training Programs, and OSHA and Safety Standards.
  • Cooperate with the Compliance Department to achieve and maintain "Perfect Files."
  • Assist Property Manager with supervising, motivating, and training office staff.
  • Accurately and timely complete all required reports.
  • Meet or exceed all specified objectives, including monthly goals set by the Property Manager.
  • Perform any additional duties assigned.
