About The Position

The Internal Medicine Residency Program Coordinator provides comprehensive administrative and operational support for an ACGME-accredited Internal Medicine Residency Program. Working closely with the Program Director, Associate Program Directors, Chief Residents, GME Office, faculty, and residents, the Coordinator ensures compliance with ACGME, ABIM, NRMP, ERAS, ECFMG, and institutional requirements while supporting all aspects of residency education and program administration.

Requirements

  • Minimum formal education of High School Diploma or equivalent
  • Minimum of 5 year job related experience
  • Minimum 5 years of experience coordinating an ACGME-accredited residency program, preferably in Internal Medicine within a medium to large residency program.
  • Demonstrated knowledge of graduate medical education accreditation standards and residency operations.
  • Expert knowledge of ACGME accreditation standards and ADS, AAMC/ERAS, NRMP, New Innovations, ABIM FastTrack and ECFMG.
  • Graduate Medical Education policies and procedures.
  • Strong organizational, project management, and multitasking skills.
  • Excellent written and verbal communication abilities.
  • Ability to maintain confidentiality and exercise sound judgment.

Responsibilities

  • Coordinate all administrative functions of the residency program in compliance with ACGME Institutional and Program Requirements.
  • Maintain the ACGME Accreditation Data System (ADS), ensuring timely and accurate updates and submissions.
  • Manage the residency recruitment process through ERAS, including application review, interview scheduling, communication with applicants, and onboarding.
  • Coordinate all activities related to the National Resident Matching Program (NRMP), including Match participation and rank list preparation.
  • Maintain resident records and evaluations in New Innovations, including rotation schedules, procedure logs, duty hours, evaluations, conference attendance, and milestone documentation.
  • Coordinate ABIM FastTrack reporting, resident training verification, and board eligibility documentation.
  • Verify and monitor ECFMG certification and visa-related documentation for international medical graduates.
  • Assist with ACGME site visits, Annual Program Evaluation (APE), Program Evaluation Committee (PEC), Clinical Competency Committee (CCC), Self-Study, and accreditation activities.
  • Prepare reports, agendas, meeting minutes, and educational materials.
  • Coordinate orientation, graduation, educational conferences, retreats, and residency events.
  • Maintain confidential resident files and ensure compliance with institutional and regulatory requirements.
  • Serve as the primary administrative liaison among residents, faculty, GME leadership, hospital administration, and external regulatory organizations.
  • Coordinate resident payroll processes, including verification of work schedules, stipend changes, leave reporting, onboarding documentation, and timely submission of payroll-related information in accordance with institutional policies.
  • Performs all other duties as assigned.
