About The Position

The Reservations Assistant Manager is responsible for leading daily reservations operations while delivering friendly, professional, and personalized service that reflects Kiawah Island Golf Resort’s luxury standards. This role assists in overseeing staffing, scheduling, training, guest reservation accuracy, interdepartmental communication, and team performance to ensure each guest receives a seamless, customized experience from booking through arrival. The ideal candidate is an organized and service-driven hospitality professional with strong communication, leadership, problem-solving, and systems skills.

Nice To Haves

  • College education preferred with preference in Hospitality studies
  • At least one year of hotel management experience preferred with demonstrated successful systems implementation and oversight
  • At least two years of reservation experience preferred, preferably with a four or five star/diamond hotel

Responsibilities

  • Provide friendly, professional and individual service, while adhering to all resort standards for reservations.
  • Create and sell a complete stay for the guest, personalized to match each of the guests’ interests and desires, while utilizing all of the resort’s amenities.
  • Make dinner, golf, tennis, nature program, bike and all other reservations for guests at the time of booking, or before arrival, to give the guest the ease of visiting with everything preplanned.
  • Function as the Manager on Duty for the department on all shifts.
  • Evaluate the staffing requirements and prepare work schedules weekly, adhering to budget goals.
  • Ensure that sufficient staffing is present to meet the daily business demands.
  • Handle all disciplinary counseling as needed according to KIGR policy.
  • Give daily line-up to each employee that communicates business demands and anticipates accordingly.
  • Demonstrate comprehensive knowledge of Sanctuary rooms, services, and facilities, including personnel, features and hours of operation.
  • Demonstrate effective knowledge of resort amenities, nearby places of interest and necessity, and Charleston businesses, attractions, and activities.
  • Ensure staff’s knowledge of hotel services, features, and amenities.
  • Monitor and ensure that departments perform their job functions to the hotel’s expected level of service.
  • Assist staff whenever necessary in performing all job functions.
  • Conduct ongoing training with existing staff and ensure that new staff is certified as required.
  • Accommodate all guest requests in an accurate and efficient manner.
  • Coordinate with group reservations team on requests and needs.
  • Communicate proactively, cooperatively, and appropriately with other hotel and resort departments regarding guests’ needs and preferences as well as property situations.
  • Maintain discretion and security for the hotel and guests.
  • Monitor and maintain cleanliness and working conditions of department equipment and supplies.
  • Prepare work orders for equipment repairs and distribute to Engineering.
  • Ensure that all pertinent information documented in daily End of Shift emails.
  • Payroll is documented and submitted accurately and promptly.
  • Ensure payroll forecast are accurately completed and submitted timely.
  • Conduct performance appraisals of designated staff as required.
  • Successful completion of the training/certification process.
  • Respond to security and emergency situations in accordance with established Sanctuary Guidelines.
  • Conduct reporting and analysis to ensure reservation accuracy prior to arrival.
  • Support Director as necessary.
