About The Position

The Reservations Rapid Response Agent is responsible for the day-to-day operations of the Reservation Sales department, serving as a primary point of contact for guests and members. Your core mission is to convert incoming inquiries into definite reservations with professionalism and efficiency. Under the direction of the Director of Reservation Sales, you will book accommodations and all activities—including golf, spa, dining, transportation, and tennis—to ensure a seamless and personalized itinerary for every guest.

Requirements

  • High school diploma or GED; or six months to one year of related experience/training; or an equivalent combination of education and experience.
  • Ability to read and comprehend instructions, correspondence, and memos, as well as write professional, simple correspondence.
  • Skilled at effectively presenting information in one-on-one and small group situations to customers, clients, and colleagues.
  • Basic math skills (addition, subtraction, multiplication, and division) with the ability to calculate percentages and discounts.
  • Proficient in Microsoft Office products for reporting and correspondence; ability to undergo continuous training for property management and amenity reservation systems.
  • The capability to handle standardized situations involving several concrete variables.

Responsibilities

  • Convey rate and package information accurately within approved limits to maximize and protect overall resort revenue yields.
  • Responsible for answering all incoming inquiries and requests while booking all accommodation reservations.
  • Take advanced activity reservations for all social members and guests, including but not limited to golf, spa, dining, transportation, and tennis.
  • Maintain professional telephone etiquette consistent with service industry standards.
  • Maintain precise tabulation of all bookings and ensure amenity reservation documents are organized to provide accurate itineraries.
  • Complete appropriate follow-up phone calls to confirm amenity reservations and enhance guest satisfaction.
  • Assist Group Reservation Coordinators with overflow work as needed and maintain a clean, organized workspace.
