The successful candidate will manage program design, budgets, staffing, and logistics, and will develop and implement new research strategies. Responsibilities include facilitating departmental activities such as recruitment, onboarding, participant follow-up, IRB submissions, budget development, and event coordination, working autonomously with limited supervision.

Requirements

  • Master's Degree in business administration, health care administration, or related field.
  • Minimum of four years of progressively responsible related experience including program/project coordination or equivalent combination of education and experience.
  • Proficiency in using various Microsoft Office applications such as Word, Excel, Access, PowerPoint, and Outlook.
  • Familiarity with Internet applications.
  • Effective oral, written, communication, and interpersonal skills.
  • Ability to interface effectively with all levels of management.

Responsibilities

  • Prepares grant applications, reports on grant status, and proposal submissions. Researches potential donors and funding sources, contacts connections, searches grant requirements and deadlines, and may prepare proposals. Develops business plans to identify research and grant opportunities. Identifies new funding opportunities and sources for research grants. Prepares grant proposals by coordinating reviews, compiling contracts, and editing content. Initiates and manages grants, identifying factors affecting grant establishment or awarding. Follows up on and coordinates resolution of all issues and resolves processing problems. Provides guidance and assistance in budget preparation and interpretation of funding agency regulations and requirements. Collects and organizes required paperwork for grant submission. Oversees preparation of just-in-time materials and subcontracts/consortium submission records. Works with the Neurology Finance team and the Director of Operations to facilitate post-award activities of funded awards.
  • Recruits, hires, trains, and supervises clerical and administrative staff, trainees, and volunteers for the program, ensuring implementation of office policies and procedures. May require nationwide recruitment for study participants, phone screening, data collection, and record keeping.
  • Organizes and coordinates schedules, activities, and special events. Coordinates conference preparation activities, including logistics and technical support, and food ordering. May oversee staff assigned to this responsibility.
  • Participates in special projects and performs other duties as required.
  • Participates in the development and administration of program budgets. Manages program budgets and resource allocation, and assists the department with accounts payable/receivable follow-up. Reviews workflow and recommends improvements for cycle times and efficiency. Reviews sponsor-proposed budgets for adequate coverage and recommends changes. Contributes and proposes edits/corrections to proposed budgets, renewal budgets, and contracted statements of work. Manages reconciliation, tracking of study milestones, participant payments, and core lab service invoicing.
  • Provides coordination for program activities to a program leader, department, or organizational unit in planning, preparation, organization, analysis, coordination, and delivery of projects and programs. Works with internal and external parties to organize components for initiating, running, and concluding major programs. Coordinates and communicates program activities with concerned parties, including vendors and users. Develops, prepares, and revises training materials, develops educational curriculum, manages databases, and ensures end-user satisfaction through surveys and other measurement tools. Coordinates special technical trainings relative to the program (e.g., statistical software).
  • Prepares and issues reports within established procedures. Analyzes findings/data and presents recommendations. Independently prepares and reviews documents and generates status/progress reports for ongoing and pending program-related projects. Plans, arranges, outlines, and drafts letters, memos, agendas, presentations, and reports. May oversee staff assigned to this responsibility.
  • Gathers and collects data from different parties, ensures accuracy, and analyzes findings, presenting recommendations as applicable. Responds to requests for information, summaries, and data compiled from various sources. Plans and develops materials and presentations for training and educational sessions, departmental seminars, and other activities. Reviews study regulatory status. Manages and oversees trial start-up activities, including development/revision of the final protocol, template informed consent for site use, assistance with and review of IRB submissions and responses to queries, and negotiation of budget terms.
