About The Position

This position supports the programmatic and administrative activities of the Biscayne Bay Water Quality Improvement Grant and the Florida's Coral Reef Restoration and Recovery Initiative Grant. The role involves comprehensive grant management and coordination services, ensuring compliance with state laws and grant terms. The Research Coordinator will also be responsible for information management and sharing, representing the program and collaborating with various stakeholders. Occasional travel within Florida and potentially long-distance travel may be required. After six months, there is a possibility of participating in field activities related to snorkel or SCUBA diving.

Requirements

  • Bachelor's degree in an appropriate area; or an equivalent combination of education and experience.

  • Demonstrated ability to initiate and complete projects with minimal supervision.
  • Effective oral and written communication skills.
  • Fluency in computer and communications technology.

  • Knowledge of Florida's Coral Reef and coral diseases, restoration and protection alternatives.
  • Florida Certified Contract Manager with experience managing a minimum of $20 million annual budget.
  • Ability to learn and use new software, such as Salesforce or other state-managed programs, as needed.
  • Experience in reviewing and editing technical research proposals and creating management summaries.
  • Preferred locations include DEP offices in Miami and Dania Beach.

Responsibilities

  • Manage up to 30 assigned grant agreements under the Biscayne Bay Water Quality Improvement Grant, providing comprehensive grant management and coordination services.
  • Develop Grant Work Plans (GWP) and prepare supporting grant documentation in collaboration with grantees and principal investigators.
  • Review Budget Cost Analyses (BCA) to determine if budgets are allowable, reasonable, and necessary.
  • Ensure compliance with Florida's grant and expenditure laws, policies, and requirements, and ensure grantees comply with grant award terms and conditions.
  • Route agreement documents for execution and process amendments and/or change orders.
  • Liaise with grantees and various Department divisions through periodic communication.
  • Review and approve deliverables.
  • Review, approve, and submit invoices, and track expenditures/disbursements for both cost reimbursement and fixed-cost agreements.
  • Ensure grantees submit quarterly reports, deliverables, and other documentation in a timely manner.
  • Update information and track the progress of grant activities in the Salesforce enterprise grant management database and Florida's Accountability Contract Tracking System (FACTS).
  • Maintain project/grant files, ensuring documentation follows the established folder structure and remains organized.
  • Conduct site visits for project compliance, as needed.
  • Assist in the management of other grant agreements, as needed.
  • Analyze data, research information, review documents, and use such data and information to develop reports and presentations for the State Legislature.
  • Support the Florida's Coral Reef Restoration and Recovery Initiative Grant by setting up and managing up to 10 new grant agreements.
  • Organize and participate in grantee pre-award calls and follow-up with necessary supporting grant documents and attachments.
  • Represent the DP CPR Program and FSG, exchanging information with various internal and external partners and stakeholders.
  • Facilitate weekly CPR Grant Check-In Calls and participate in relevant meetings.
  • Attend monthly Salesforce Data Governance calls.
  • Maintain and update the CPR Grants Standard Operating Procedure document.
  • Develop Salesforce procedural reports and how-to guides, and provide trainings to staff.
  • Attend external meetings and functions related to coral reef issues in Florida.
  • Contribute to the development of CPR-related communications products and DEP/ORCP Weekly and Quarterly Measures Reports.
  • Travel locally and throughout Florida and occasional long-distance travel as needed.
  • Maintain partnership with a variety of stakeholder groups.
  • Prepare meeting summaries and track action items.
  • May be considered for snorkel or SCUBA diving field activities after six months (not to exceed 2 days per month).
  • Maintain electronic files of all resources, information compiled, and reports generated.
  • Perform other duties, as assigned.
  • May assist with local field work up to 2 days per month.
