About The Position

The Representative Payee / Client Funds Coordinator serves as a financial advocate for individuals with Intellectual and Developmental Disabilities (IDD) who are unable to manage their Social Security or Supplemental Security Income (SSI) benefits independently. This role is responsible for ensuring that beneficiary funds are managed responsibly, with a primary focus on meeting essential needs such as housing, food, and medical care, while maintaining strict compliance with Social Security Administration (SSA) regulations. In addition, this position functions as a program-facing financial support role, requiring collaboration with program staff and leadership.

Requirements

  • High school diploma or equivalent (GED)
  • 4 years' relevant work experience
  • Microsoft Office proficiency

Responsibilities

  • Establish and manage separate, dedicated accounts for each beneficiary
  • Develop and maintain monthly budgets prioritizing primary needs (housing, utilities, food, medical care) and secondary needs (clothing, recreation, personal spending)
  • Utilize internal system (EMS) and collaborate with Custodial Funds Team to disburse payments for expenses such as rent, utilities, and medical bills
  • Determine personal spending amounts for each consumer after essential needs are met
  • Monitor account balances and ensure funds are used in the beneficiary’s best interest
  • Maintain detailed financial records, including receipts and transaction histories (minimum two-year retention)
  • Monitor SSI resource limits (typically $2,000) to maintain benefit eligibility
  • Ensure full compliance with SSA rules and Pennsylvania oversight requirements
  • Safeguard beneficiary funds through secure financial practices
  • Serve as a liaison between consumers, program staff, SSA representatives, landlords, vendors, service providers, and the Custodial Funds Coordinator
  • Promote beneficiary involvement in financial decisions whenever possible to support independence
  • Report all required changes to SSA, including income or employment changes, living arrangement updates, and health or functional status changes
  • Build working relationships with program teams by visiting program sites, meeting with staff and leadership, and understanding operational and resident needs
  • Provide financial insight to support program operations while maintaining role boundaries
  • Gather and respond to feedback from program leadership to improve service delivery
