About The Position

Cooper Equipment Rentals is seeking customer-oriented, motivated individuals to join their professional team as a Rental Coordinator/Yard Coordinator. This role involves managing rental solutions, coordinating equipment logistics, collaborating with the Service Department, maintaining inventory records, and ensuring efficient branch operations. The position requires a commitment to safety, customer service, and teamwork, with opportunities for continuous training and development in a fun-loving and socially responsible work environment.

Requirements

  • Minimum of 1 year of experience in the construction industry, customer service, or a related field is required.
  • High school diploma or equivalent is required.
  • Strong organizational skills with the ability to manage multiple tasks, priorities, and deadlines in a fast-paced environment.
  • Excellent communication skills (verbal and written); able to interact professionally with customers, drivers, service technicians, and sales staff.
  • Proficiency with Microsoft Office (Word, Excel, Outlook).
  • Comfortable learning and working with rental management systems (Systematics or similar software preferred).
  • Demonstrated flexibility and adaptability when priorities shift or urgent customer needs arise.
  • Commitment to workplace safety and adherence to all company safety standards.
  • High level of accountability, professionalism, and pride in your work.
  • Valid Class 5 driver’s license required, with a clean or satisfactory driver’s abstract (no more than 3 demerit points).
  • Physical stamina and ability to stand for long periods.
  • Must be able to lift approximately 50 lbs.
  • Must be comfortable with working outdoors year-round.
  • Available and willing to work overtime when required.
  • Self-starter, very customer-service oriented and works well in a team environment.
  • Curiosity to learn new things & understand more about construction equipment and the rental industry.

  • Experience in the equipment rental industry is a definite asset.
  • Post-secondary education in business, administration, or logistics is an asset.
  • Knowledge of construction equipment and rental fleet operations is an asset.
  • PowerBI or other reporting tools are an asset.
  • Mechanical aptitude and/or previous experience operating equipment is an asset.

Responsibilities

  • Answer customer and sales team inquiries, providing rental solutions and processing contracts with accuracy and professionalism.
  • Coordinate equipment deliveries and pickups by dispatching drivers and communicating timelines clearly.
  • Collaborate with the Service Department to address equipment repairs, maintenance scheduling, and fleet availability.
  • Maintain accurate inventory records; reconcile and communicate updates daily to ensure strong inventory control.
  • Manage rental documentation including cycle billing, contract filing, open-order reports, and equipment exchanges. Use Systematic Rental Management system accurately and effectively.
  • Communicate and coordinate effectively with teammates in the shop and yard to understand equipment availability / to ensure equipment is rental ready.
  • Follow standard operating procedures to ensure consistency, compliance, and efficiency in branch processes.
  • Contribute to a safe and positive work environment by following company safety policies and promoting The Cooper Difference.
  • Wash, dry, and detail equipment using pressure washers, vacuums, and cleaning agents.
  • Maintain a clean and organized equipment yard and wash bay area.
  • Assist drivers with loading and unloading equipment.
  • Operate forklift and other construction equipment.
  • Check equipment for damage when returned to the yard, report damage and fill out service tags for all returned equipment.
