About The Position

The Rehabilitation Secretary is responsible for managing administrative tasks within the rehabilitation department. This includes handling phone calls, managing mail, greeting and directing patients, data entry using specific software, performing billing functions, and maintaining department documents and records.

Requirements

  • High School Diploma or equivalent.
  • Ability to communicate with employees, physicians, patients and administrative staff in a courteous and professional manner.
  • Knowledgeable in Medical Terminology.
  • One year of Healthcare experience preferred.

Responsibilities

  • Answers incoming calls, distributes incoming and outgoing mail, greets and directs patients.
  • Enters data into computer utilizing EPIC and Cadence software.
  • Performs billing functions.
  • Tracks, types, and files department documents/correspondence.
  • Organizes various agency forms and records.
  • Schedules outpatients for Occupational, Physical and Speech Therapy services using EPIC software (Cadence).
  • Requests authorization for therapy from Worker’s Comp, Private Insurance companies, Medicaid and Medicare in a timely manner (48 hours).
  • Answers billing inquiries and redirects patients to call billing customer service.
  • Answers and directs department incoming phone calls.
  • Operates personal computer (Windows based software, EPIC, Enterprise E-Time, Cadence, MS Word, and MS Outlook).
  • Files and maintains all patient clinical records and department files.
  • Follows up with staff for missing or incomplete documents.
  • Disassembles discharged patient charts, reviews for completeness and d/c summary.
  • Assembles patient charts with appropriate paperwork (H&P, prescription/referral, insurance authorization, admitting registration).
  • Maintains inventories and orders for front and back office supplies.
  • Assumes all other duties and responsibilities as necessary.
  • Demonstrates willingness to identify and/or assume activities relative to the developmental needs of the department.
  • Demonstrates dependability/flexibility in meeting scheduling needs of the department and hospital.
  • Accepts assignment as preceptor for new staff.
  • Completes work assignments on time/readily accepts assignments.
  • Reports to work on time and is at work as scheduled.
