About The Position

The Rehab Unit Secretary I relieves the Charge Nurse of clerical duties to facilitate the efficient running of the unit. This role involves maintaining patient charts, updating information boards, managing faxes, coordinating appointments, and ensuring all necessary paperwork is organized and filed correctly. The position also includes managing supplies, assisting with patient transfers, and performing various administrative tasks to support the nursing department.

Requirements

  • Possesses verbal, writing, reading, and computer skills necessary to perform duties associated with the position.
  • Demonstrates effective communication skills.
  • High school graduate.
  • Two years experience in clerical work, preferably in a medical facility.

Responsibilities

  • Relieve Charge Nurse of clerical duties by answering the telephone and facilitating the efficient running of the unit.
  • Maintain charts and compile charts for new admissions, including necessary forms.
  • Assist with transporting residents as needed.
  • Update the white board with pertinent information including census, discharges, admissions, and staff information.
  • Ensure all faxes to and from the facility are sent, picked up, distributed, and filed correctly.
  • Ensure MOLST forms are flagged for MD review, copy is in the chart, and sticker outside of chart.
  • Set up visits with podiatrist and eye doctor and get paperwork together for patients being seen.
  • Set up hair appointments.
  • File and organize all admission information and paperwork, including putting together patient charts, adding patient names to spreadsheets and patient boards, tagging charts, binders, and paperwork, and starting/updating patient disaster tags.
  • Ensure code status heart and bracelet are available.
  • Assist in putting together necessary paperwork when a patient is being transferred to the hospital and call ambulance to transport patient.
  • Set up doctor’s appointments and transportation needs for residents needing appointments outside the facility.
  • Update all patient rosters, weight forms, lab and x-ray books, and pharmacy sheets on a daily basis and notify nursing staff of any irregularities or changes.
  • Input work orders for maintenance into WorxHub on an as needed basis.
  • Assist in obtaining signatures on resident vouchers after obtaining prior approval from the Accounting Department.
  • Deliver and read mail as requested.
  • Run task list report on each patient.
  • Maintain an accurate inventory of office, lab, and beauty supplies as needed.
  • Stock supplies in designated areas and keep all supplies neat and orderly.
  • Take pictures of new admissions on arrival.
  • Review flagged charts throughout the day and assist with orders (labs, x-rays, ultrasounds).
  • Ensure that all file drawers, books, pharmacy, lab, and x-ray forms, etc., are kept full with all necessary copies.
  • Ensure all necessary paperwork is filed as necessary or on a routine basis.
  • Perform duties according to the highest ethical and moral standards and in adherence with the facility’s corporate compliance plan and all applicable governing laws.
  • Adhere to the facility’s confidentiality statement in accessing and safeguarding protected health information (PHI) of residents and employees.
  • Perform any other duties assigned by the Charge Nurse, Supervisor, or Unit Manager.
