About The Position

This position is primarily responsible for supervising staff within the multifaceted Licensure Maintenance and Administration Units. Ensures that Board Meetings are arranged in accordance with established time frames and procedures; agenda materials are produced accurately and distributed timely; board member compensation is processed timely and accurately. This includes coordination with the Prosecution Services Unit, Office of Attorney General, and other parties.  Serves as back up to Program Operations Administrator in preparing materials for committee meetings. This position is primarily responsible for supervising staff within the multifaceted Licensure Maintenance and Administration Units. Responsible for selecting qualified staff and for maintaining an effective performance evaluation system.  Responsible for ensuring that staff receives necessary training, that staff meetings are conducted on a regular basis, and that effective methods are utilized for optimal communication. Functions as web liaison between office and Systems Support Services.  Responds to zzzz mailbox. Create response letters from the public and or licensees for Governor and State Surgeon General signatures.  Create letters for the Executive Director's signature.  Update and or create forms and applications. Research laws, rules and regulations in preparing correspondence for the Governor, Secretary of the Department, Board Chairman, Executive Director and Program Administrator.  Participates in the Board office management and leadership team.  Handles special projects and activities as assigned and coordinates functions with other team members as needed.  Conducts research of policy issues pertaining to Federation of State Medical Boards, other state medical boards, medical societies, etc.  Ensures that intake and referral of inquiries to the office are handled with optimal customer service and that receipt, recording and distribution of mail is accomplished timely and accurately.  Makes presentations related to projects.  Travels statewide to attend Board meetings and attends other internal and external meetings as required.   Responsible for implementing office’s Quality Assurance Protocol. This includes coordinating and participating in quality assurance activities including quarterly audits of pending and completed application files. This includes analyzing audit findings and developing and conducting ad hoc staff training(s) to address identified deficiencies.

  • Knowledge of personnel management and use of personnel resources
  • Knowledge and proficiency of Microsoft Office software
  • Knowledge and proficiency in using Windows-based computers
  • High School Diploma or equivalent and 2 years administrative experience that includes data entry, document preparation, computer software use, travel arrangement preparation, and/or personnel and budget review. College education can substitute for the required experience on a year-for-year basis).

Nice To Haves

  • Experience with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), iBuilder, iViewer, Adobe Acrobat, and LEIDS systems.
