About The Position

The Otipemisiwak Métis Government is recruiting for a Registry Agent. Reporting to the Registry Operations Supervisor, Registry Agents are responsible for working to ensure Métis citizenship applications are complete before sending it to the Genealogy department. This position requires precise data entry skills, and understanding of the Otipemisiwak Métis Government citizen application process.

Requirements

  • Strong understanding of the Otipemisiwak Métis Government registry process with the ability to proofread contents of citizenship applications.
  • Proficient in Microsoft Office programs (including Word, Excel, and Adobe).
  • Ability to remain organized, multi-task and time manage.
  • Meticulous records maintenance skills and excellent attention to detail.
  • Ability to work independently as well as part of a team.
  • Excellent interpersonal skills with the ability to build strong relationships.
  • Excellent communication skills with the ability to listen, interpret, and convey information and opinions to appropriate staff.
  • Strong sense of ethics, with the ability to maintain a high level of confidentiality in all interactions.

  • Ability to make quick, clear decisions.
  • Clear understanding of the Otipemisiwak Métis Government and knowledge of Métis history, culture, and people.
  • High School Diploma or equivalent.
  • Ability to obtain Commissioner for Oaths designation.
  • Position will be based in Edmonton; in-office presence will be required.
  • Ability to work office hours of Monday – Friday, 8:30 am – 4:30 pm.
  • Able to work evenings and weekends as required for events and Registry sessions.
  • Able to travel throughout Alberta (required) for events and to facilitate Registry sessions. Travel will be up to 25%.
  • Must hold a Valid Class 5 Driver’s License and have reliable transportation.

Nice To Haves

  • Previous data entry experience is an asset.

Responsibilities

  • Take responsibility of specific citizenship application files as assigned.
  • Verify that the application forms are complete in accordance with Registry policies and Otipemisiwak Métis Government requirements.
  • Compile documentation using Adobe and enter required information into the Registry database.
  • Provide Commissioner of Oaths to certify the authenticity of documents when required.
  • Liaise with applicants by mail, telephone, or e-mail to obtain further information and documentation as required and to keep them informed on the status of their applications.
  • Once the family tree with findings is returned to from the genealogists, action the file according to genealogical findings. Contact the applicant immediately to request missing information to finalize the file processing.
  • Prepare the file for quality assurance review and Métis ID card authorization.
  • Return and/or close all application files that do not require active attention.
  • Complete internal reporting of statistical information pertaining to candidate applications and processing.
  • Discuss problematic cases with immediate supervisor.
  • Participate in all in-house staff development activities and/or Registry staff meetings.
