About The Position

The Registration Counselor is responsible for opening the center, greeting patients, managing phone calls, scheduling appointments, maintaining the waiting area, handling bank deposits and cash transactions, assisting with administrative tasks, managing office supplies, explaining delays to patients, scanning documents, maintaining patient surveys, and performing other clerical duties as needed.   • Ability to make referral appointments for patients.
  • Ability to provide patients with pertinent referral information.

  • Ability to order supplies as warranted.
  • Ability to keep a log of supplies received or back-ordered.
  • Ability to keep cash drawer balanced.
  • Ability to check total daily before and after transactions.

  • Ability to ensure PA/FNP/MD has reviewed, initialed, and dated documents.

Responsibilities

  • Opens the center and greets all patients, representatives of patients, and visitors cheerfully and by name (if possible) upon their arrival at the office.
  • Receives and screens all telephone calls coming into the clinic courteously, identifying self by name, and immediately directs the call to the proper person or takes a message if the person is busy. Answers the phone by the third ring.
  • Schedules all patient appointments and follows up on missed appointments.
  • Keeps waiting room, bathrooms, and foyer neat, with daily checks prior to opening in the morning and after lunch.
  • Makes bank deposits bi-weekly (Tues. and Fri.) and keeps sufficient cash in the office for daily transactions.
  • Collects all self-pay monies from patients for services rendered at the end of each visit.
  • Assists in securing the department at the end of the day, ensuring that all doors and glass windows are locked and lights/office equipment are turned off.
  • Assists the PA/Medical Provider and/or nurse with administrative responsibilities as instructed.
  • Distributes office mail.
  • Explains tasks and provides minimal supervision of volunteers.
  • Closes total cash batch by 5:00pm and makes the bank deposit to equal the amount of monies collected that day.
  • Makes referral appointments for patients as directed, providing the patient with all pertinent information needed regarding the referral.
  • Keeps the office supply inventory, surveying the inventory weekly and ordering supplies as warranted. Keeps a log of supplies received or back-ordered.
  • Keeps the cash drawer balanced, checking the total daily before and after the day's transactions. Notifies the coordinator immediately if a discrepancy is found.
  • Explains to patients delays, reasons for such delays, and approximate time that delay shall last before they are seen.
  • Scans lab results and patient notes received from outside sources daily, ensuring that the PA/FNP/MD has reviewed, initialed, and dated them.
  • Maintains an effective patient survey process.
  • Performs other clerical duties as needed.
