About The Position

The Registration Administrator is responsible for coordinating the Registration Panel process to ensure effective and efficient processing of registration panels and Health Professions Appeal and Review Board appeals within the requirements of the Regulated Health Professionals Act and administrative laws. The Registration Administrator will attend and organize all Registration Panel meetings and provide documentation and guidance to Panel Members regarding processes and options as requested.

Requirements

  • Must have 3-5 years of recent relevant experience in an administrative capacity
  • Excellent written, verbal and interpersonal skills
  • Proficient with Microsoft Office and ability to navigate internal databases, familiarity with document retention
  • Ability to maintain the confidentiality of sensitive file material and information

Responsibilities

  • Provide administrative support to Registration Committee members as it pertains to full committee meetings and panel meetings
  • Collect and review all policy-related registration information to determine if the applicant meets the policy criteria and if the specific policy can be applied to the applicant’s situation to determine how the applicant can proceed in the registration process
  • Manage all applicant files being referred to the Registration Panel, and liaise between applicants and the Panel, including compiling documentation packages for Panel review, preparing and validating information in applicant submissions for the Panel’s consideration. Obtain court records and medical reports as needed
  • Using the College’s database, create and monitor applicant panel records ensuring the information in the College’s database is always up-to-date
  • Attend panel meetings to respond to questions, prepare and draft panel orders, agreements/undertakings and panel meeting minutes.
  • Communicate the panel’s decision to the applicant within specified timelines
  • Review reports to ensure information is current and relevant, coordinate the collection of information both internally and externally, and prepare the Fair Registration Practices Report for the Office of the Fairness Commissioner (OFC), as well as any other information request from the OFC
  • Act as a primary contact for questions related to the registration regulations and panel process. Review information on the website to ensure it is accurate, current, and clear
  • Act as the primary contact and administrative support for registrants engaging in the processes associated with moving from Part B to Part A of the register and liaise with the individuals and teams involved in this process.
  • Act as a secondary administrative support as needed for the Jurisprudence Administrator and Entry-to-Practice Assessments Administrator.
  • Continually examine work processes and explore opportunities for improving efficiencies through technology, elimination or altering of work processes and make recommendations to the Manager, Registration.
  • Work within records management principles and guidelines for record keeping
  • Other reasonable duties as assigned by Manager, Registration
