Reporting to the AVP of Enrollment Management, the Registrar will lead all functions of the Registrar's Office, including academic records, registration, transcripts, degree auditing, compliance, and student information systems. Description: What you'll be doing Another Source’s client, Adams State University, is recruiting a Registrar to join their team in Alamosa, Colorado. The Registrar plays a critical role in supporting the student experience by ensuring the accuracy, security, and accessibility of academic records while partnering across campus to advance institutional goals and student success initiatives. About this role: Reporting to the Assistant Vice President of Enrollment Management, the University Registrar provides strategic leadership and oversight for all functions of the Registrar’s Office, ensuring the integrity, accuracy, and security of academic records and student information systems (Workday). This role manages registration, grading, transcripts, degree verification, compliance, and graduation auditing in alignment with university policies and legal regulations such as FERPA. The Registrar collaborates with IT and campus partners to implement and optimize technology solutions that support student success. Additionally, the position supervises staff, maintains procedural documentation, and ensures accurate reporting to internal and external stakeholders. Scope & Impact Registrar’s Office Administration Develops, directs and reviews departmental goals and objectives. This includes but is not limited to administering ASU, Colorado Department of Higher Education (CDHE) and federal (ED) policies regarding registration, tuition classification, course and degree evaluation, records management, data integrity, security and access. Hires, trains and supervises department personnel for the purpose of performing the necessary functions typical of a registrar’s office. Conducts staff performance evaluations. Supports a service-oriented culture in the Registrar’s Office that provides responsive, proactive communication which fosters a positive working relationship with internal and external stakeholders. Provides opportunities for professional development of departmental staff. Serves and represents the Registrar’s Office at meetings with internal and external stakeholders as needed and assigned. Maintains memberships and actively participates in professional Registrar-oriented organizations. Manages departmental budget on a monthly basis to ensure cost-effective operations of the department. Maintains current knowledge of technology applications. Conducts regular Registrar’s Office staff meetings to ensure departmental alignment with strategies and goals. Works with faculty and staff on a daily basis to proactively resolve issues and challenges encountered by current and former students in a timely manner. Student Records Administration Maintains and preserves the integrity of all student data and academic records. Conducts regularly scheduled audits and communicates with faculty and staff to ensure accuracy and integrity of student data and academic records. Responsible for optimization and management of the Student Information System. Serves as the primary data steward over student records, collaborating with IT to review and adjust access to student data. Responsible for the timely processing, accuracy and communication regarding student registration, academic standing, interim and final grade reporting, test for credit articulation, and related student record and registration services. Ensures the completeness, accuracy and security of student transcripts and pertinent records in compliance with the Family Educational Rights and Privacy Act of 1974 (FERPA). Collaborates with functional departments and serves as the departmental subject matter expert to develop, implement and monitor academic policies and procedures that support student success throughout the student lifecycle. Creates strategic engagement campaigns for internal and external stakeholders. Regularly communicates with faculty and staff on academic regulation updates. Develops and processes ad hoc reports, diagnostic reports for records and registration, and reports as requested or needed. Supervises the preparation and delivery of academic transcripts and diplomas. Reviews and determines status of all petitions for residency changes as specified by the Colorado Statute for In-State Residency for Tuition Classification Purposes. Reviews residency procedures and issues on a regular basis and consults with the state attorney general’s office as needed. Compliance Keeps apprised of current or changing federal and state regulations and works with various state (CDHE) and campus constituencies to ensure institutional regulatory compliance and that new regulations are appropriately adopted. Maintains and implements Records Retention policies. Interprets and administers FERPA and provides leadership to ensure institutional compliance with FERPA and other accrediting agency standards applicable to student records. Oversees eligibility certification for student athletes as required by university policy and Rocky Mountain Athletic Conference and NCAA rules and regulations. Communicates with academic departments and athletics staff on a regular basis to ensure compliance with regulations, policies and procedures.

Requirements

  • Bachelor’s degree
  • 5+ years of experience in higher education and/or academic records administration.
  • Excellent written and oral communication skills.
  • Ability to take initiative.
  • Attention to detail as in daily work, short- and long-term planning.
  • Ability to effectively evaluate and analyze levels of efficiency and productivity.
  • Demonstrated experience managing a department under general administrative direction.
  • Ability to consistently exhibit professionalism through reliable behavior, accountability, sound judgment, and respectful interactions.

Nice To Haves

  • Master’s degree preferred.
  • Experience with stabilizing and optimizing new technologies preferred, such as SIS or other systems related to records and curriculum, or similar systems.
