About The Position

The Illinois Department of Public Health is seeking a highly motivated, detailed oriented individual to serve as a staff assistant to the Division of Long-Term Care Field Operations. This individual preforms a variety of administrative functions necessary to the operation of the Division. Responds to inquiries through written and verbal communication. Assists with copying, collating and completing a variety of documents for the Division.

Requirements

  • Requires knowledge, skill and mental development equivalent to completion of four (4) years of college, preferably with courses in public or business administration.
  • Requires one (1) year of professional experience in a public or private organization, or completion of an agency-approved professional management training program.

Nice To Haves

  • One (1) year work experience with computer applications (i.e., Word Outlook, Excel, PowerPoint), and development of SmartSheets or advanced features of word processing packages.
  • One (1) year experience with personnel processes and preparing personnel documents.
  • One (1) year experience preparing correspondence in a professional manner consistent with applicable policies and procedures.
  • One (1) year experience tracking office equipment or ordering supplies.
  • One (1) year of experience with extensive knowledge of office practices, procedures and programs.
  • One (1) year of experience with business communication with other departments.

Responsibilities

  • Serves as staff assistant to Regional Supervisor.
  • Oversees personnel processes and documents for the region.
  • Maintains, prepares and distributes required survey packets for all types of survey activity.
  • Serves as Information Technology (IT) Coordinator for LTC Field Operations Survey Staff.
  • Tracks all survey activities.
  • Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.
