About The Position

UPMC Hillman Cancer Center is seeking a dynamic and experienced Regional Office Manager to oversee the administrative operations of its network of medical oncology offices. This pivotal role ensures the smooth functioning of offices, enabling the delivery of exceptional oncology care. The position supports multiple offices including Monroeville, West Mifflin, McKeesport, Mercy, Uniontown, and Western Maryland. It is a full-time, Monday through Friday, daylight role, requiring on-site presence and travel to these locations. The manager will oversee general services, including scheduling, template coordination, operational tasks, and assisting the director. Responsibilities also include ordering supplies, coordinating equipment maintenance, anticipating scheduling issues, reviewing patient schedules for potential problems, ensuring a patient-friendly and productive clinical environment, adhering to policies, coordinating laser templates, maintaining correspondence with the Practice Manager, developing a patient-centric culture, monitoring practice benchmarks, and providing support across various office positions (Office Assistant, Scheduling Coordinator, Financial Counselor/Coordinator, Office Coordinator). The role also involves supporting the Regional Manager and Practice Manager by assisting with staff training, process changes, system updates, and acting as a super user for systems like ARIA, Epic, Nuance, and ProFee.

Requirements

  • Bachelor’s Degree in Health Care or Business and 1 year experience
  • Associate’s Degree in Health Care or Business and 3 years of experience
  • High School Diploma and 5 years of experience, including 2 years in a supervisory role.

Responsibilities

  • Order all supplies and services as needed for this practice. Including supplies utilized in the clinical area and for coordinating the maintenance of the equipment.
  • Provide and coordinate maintenance on all equipment used by the clinical staff of the department.
  • Anticipate scheduling issues when members of the staff are not scheduled.
  • Review patient schedules routinely to troubleshoot for overbooked clinics, as well as staffing in respective areas of the department.
  • Ensure that the clinical environment is patient friendly, appropriate for staff and physicians to work and be productive by working closely with the staff and physicians responding to issues and problem-solving.
  • Be cognizant of and apply relative administrative, Cancer Center, and departmental policies and procedures for the protection of the patients, staff and department.
  • Coordinate and staff laser templates, ensuring that patients are properly scheduled.
  • Maintain correspondence with the Practice Manager concerning personnel, human resource, supplies, and patient issues.
  • Develop and maintain a patient-centric culture, centered around patient arrival and follow up activities in line with the consumerism initiatives, if applicable.
  • Monitor and meet practice specific benchmarks inclusive of point of service and scheduling (inclusive of template management for timely patient access), if applicable.

  • Act as a support to the Regional Manager and Practice Manager in all locations: Assist with training new & existing staff (achieve standardization across centers). Introduce/train process changes, systems updates, etc. Support manual updates as super user & also train/audit user/site compliance. Systems super user (ARIA, Epic, Nuance, ProFee, etc.).
