About The Position

The Office Coordinator plays a critical role in supporting the daily administrative operations of a fast-paced Oil & Gas Services company. This position serves as a central point of coordination between field operations, management, vendors, and corporate departments to ensure efficient office processes, accurate documentation, and timely communication. The ideal candidate is highly organized, detail-oriented, proficient with technology, and capable of managing multiple priorities while maintaining confidentiality and professionalism.

Requirements

  • High School Diploma or GED required
  • Minimum of one (1) year of administrative, office coordination, or related experience preferred.
  • Strong organizational skills with the ability to prioritize multiple tasks and deadlines.
  • Excellent verbal and written communication skills.
  • Demonstrated ability to exercise discretion and maintain confidentiality.
  • Proficiency in Microsoft Word, Excel, Outlook, and other business software applications.
  • Ability to work independently while contributing effectively as part of a team.
  • Strong attention to detail and commitment to accuracy.
  • Ability to adapt to changing priorities in a fast-paced environment.
  • Must have a valid driver’s license and maintain a clean driving record.
  • Candidates must be legally authorized to work and reside in the U.S.
  • Must pass and maintain client-required random drug tests.
  • Must pass a background investigation

Nice To Haves

  • Experience in the Oil & Gas, construction, transportation, or industrial services industry is a plus.

Responsibilities

  • Coordinate daily office operations and provide administrative support to management and various departments.
  • Receive, distribute, and maintain correspondence, reports, records, and other business communications.
  • Utilize Microsoft Office applications, including Word, Excel, Outlook, and Teams, to prepare documents, reports, spreadsheets, and presentations.
  • Assist with tracking and documenting equipment, materials, and operational timelines to ensure accurate billing and cost allocation.
  • Maintain organized filing systems and highly confidential employee, operational, and business records.
  • Process purchase requisitions, coordinate product orders, and assist with inventory tracking and management.
  • Support onboarding, training coordination, and administrative functions related to personnel and field operations.
  • Serve as a liaison between field personnel, vendors, customers, and corporate departments.
  • Monitor office supply levels and coordinate procurement of office materials and equipment.
  • Assist with special projects and process improvement initiatives as assigned.
  • Ensure compliance with company policies, safety requirements, and industry regulations.
