About The Position

The Regional Clinic Operations Manager oversees day-to-day clinic operations across multiple clinics within an assigned region ensuring consistent quality, high-performing teams, and efficient workflows. The Regional Clinic Operations Manager provides direct supervision and mentorship to Care Service Coordinators, and partners closely with clinical leadership to promote operational success and organizational alignment across all assigned locations. This role serves as a flexible resource for the organization, traveling within the region to support clinics.

Requirements

  • High school diploma or equivalent / Bachelor Degree required
  • Minimum of 5 years of office management experience in a clinical setting
  • Experience analyzing and reporting on key performance indicators (KPIs)
  • Reliable transportation required for travel to clinics within the assigned region
  • Proficient in Google Workspace (Microsoft Office), ERP systems, CRM platforms, and other relevant technology tools.
  • Proven experience managing multi-site operations with accountability for performance outcomes.
  • Strong leadership capability with demonstrated success in coaching, developing, and supervising frontline staff.
  • Proven ability to collaborate with clinical leadership and a strong understanding of essential clinical functions across disciplines.
  • Ability to analyze operational data, identify trends, and execute improvement strategies across multiple locations.
  • Expertise in facility operations, compliance standards, and vendor management.
  • Excellent communication, problem-solving, and escalation-management skills, with the ability to navigate complex family or operational concerns.

Responsibilities

  • Provide strategic oversight of day-to-day operations across the Carol Stream, Elmhurst, Glen Ellyn, Lombard, Schaumburg East and West, and Wheaton North and South clinics, ensuring consistent execution, quality standards, and operational continuity.
  • Hold ultimate accountability for the performance, development, and training outcomes of Care Service Coordinators, including direct supervision, coaching, and leadership development.
  • Monitor and evaluate regional operational KPIs, using data to identify trends, mitigate risks, and drive continuous improvement across all clinics.
  • Maintain accountability for clinic budget planning, resource allocation, and cross-clinic staffing decisions that support operational stability.
  • Oversee and resolve complex operational or family-related issues escalated beyond the clinic level, ensuring timely, effective follow-through.
  • Serve as the accountable authority for incident response, ensuring concerns are elevated appropriately and addressed with the required urgency.
  • Lead and own regional special projects, process improvements, and initiatives that enhance operational excellence and standardization.
  • Serve as the accountable lead for facility management coordination, including vendor relationships, maintenance needs, and emergent facility issues.
  • Conduct oversight audits to ensure compliance with safety, accessibility, and regulatory expectations, holding clinics accountable for correcting deficiencies.
  • Build and sustain strategic community relationships to strengthen the organization’s reputation and visibility.
  • Direct and support site-specific and regional cultural, engagement, and marketing initiatives to promote alignment and team cohesion.
  • Ensure clinics maintain full facility readiness, adequate materials, and a high-quality experience for families and staff, intervening when standards are not met.
  • Maintain regular on-site presence through daily travel across assigned clinics to ensure operational success, visibility, and alignment.
