About The Position

This position coordinates and provides support for the Region Director in the areas of communications, scheduling, reporting, and administration. The role acts as the central communications point for the Region, networking as needed with minimal supervision. The goal is to allow the Region Director the time needed to travel extensively and support their Region.

Requirements

  • High School Diploma
  • Ability on all office equipment
  • Computer skills at an intermediate level using Microsoft office products
  • 5+ years in a fast-paced business operation or similar office setting
  • Must be proactive and responsive to all issues and concerns.
  • Should have at least 5 years in AmeriGas and understand the various district operations.

Responsibilities

  • Act as the Office Supervisor for the Region Director.
  • Handle all incoming calls, e-mails, and daily mail with appropriate response.
  • Create, maintain, and update the Region Director’s monthly scheduling calendar, including conference calls, due dates for reports and responses, meetings, trainings, and upcoming events.
  • Process a variety of reports coming into and going out of the Region on a scheduled basis, including managing dispenser files, maintaining records of safety meetings, retrieving checks on Certificate of Violations for DOT employees, compiling monthly meeting information, sending notices for DOT physicals and driver's licenses, compiling and completing weekly Contribution Margin reports, contacting managers for random Drug & Alcohol testing, and maintaining the pricing book for all districts.
  • Review all expense reports and process all payables for the Regional office.
  • Assist in annual budgets and spreadsheets.
  • Maintain petty cash.
  • Complete PM Vehicle Reports as required.
  • Support districts in Human Resources, Sales, Safety, and other areas as needed.
  • Send out monthly calendars to managers for employees due annual and mid-year reviews.
  • Review all new hire packets.
  • Type bids, letters, and place orders for Sales Reps as needed.
  • Create flyers for sales incentives.
  • Set up Monthly Safety Committee conference calls and notify participants.
  • Maintain up-to-date records of training for district employees (CETP, Certificate of Violations, etc.).
  • Complete payouts for the Region Safety Award Program.
  • Assist managers with requests for support on projects.
  • Provide back-up support for district CRRs.
  • Assist district employees with questions related to insurance, policies, or practices.
