About The Position

The Referral Specialist performs scheduling, paperwork, and coordination duties when a referral is being made for a specialist or a test outside of the Health Center. This role involves managing the entire referral process, from initial scheduling to ensuring all necessary documentation is obtained and forwarded. The specialist will work independently to secure referrals through various channels, including computer, telephone, and other required sources. They are also responsible for notifying patients of appointment details, coordinating follow-up appointments, and communicating any issues with referrals to providers. Additionally, the specialist will monitor referral sheets for timely retrieval of outside office notes and prepare monthly tracking reports for administration. This position requires a commitment to the mission of the Bucksport Regional Health Center, functioning as a collaborative member of the clinical team, and maintaining professional conduct in all interactions.

Requirements

  • High School diploma or equivalent with emphasis on office and business skills including, keyboarding, filing, and multi-tasking, required.
  • 1 year experience with electronic referral process.
  • Ability to communicate and present information.
  • Ability to work independently and efficiently with multiple priorities.

Nice To Haves

  • At least one year of experience performing clerical or administrative work in a healthcare setting preferred.
  • Electronic medical record experience preferred.
  • Computer experience using Microsoft Office software products preferred.

Responsibilities

  • Schedules patient appointments with outside specialists and for outside tests; copies, prepares and forwards medical records as appropriate; records referrals in computer log.
  • Assists with obtaining insurance referrals and documentation; obtains pre-authorization for tests as needed.
  • Notifies patients of appointment dates, times and other important information.
  • Notifies scheduling of follow up appointments.
  • Notified provider(s) if referral appointment is going to be lengthy or is incomplete.
  • Monitors referral sheets for timely retrieval of outside office notes.
  • Prepares monthly tracking reports for administration.
  • Work independently to obtain referrals both via computer, telephone, or any other sources required to obtain referral/scheduling.
  • Provides backup for other departments as needed.
  • Performs other duties and tasks as assigned.
