About The Position

The Reductions Specialist plays a critical role in maximizing client recoveries and ensuring an exceptional client experience through the settlement and case closing process. As the final point of contact before case resolution, this position requires strong negotiation skills, attention to detail, professionalism, and a client-first mindset. The ideal candidate has experience working in a plaintiff personal injury law firm, understands medical billing and lien resolution, and can effectively negotiate reductions with medical providers, manage case-related documentation, and maintain consistent communication with clients throughout the reductions process.

Requirements

  • Minimum 2 years of experience in a plaintiff personal injury law firm.
  • Experience with medical bill reductions, lien resolution, or settlement processing.
  • Strong understanding of medical billing, provider balances, and personal injury settlements.
  • Excellent negotiation and communication skills.
  • Strong organizational and time management abilities.
  • Ability to manage a high-volume caseload while maintaining accuracy.
  • Experience using case management systems such as Litify, Salesforce, or similar platforms.
  • Proficiency in Microsoft Office Suite.

Nice To Haves

  • Bilingual English and Spanish.
  • Experience negotiating hospital and provider reductions.
  • Experience preparing closing statements and settlement disbursements.
  • Knowledge of PIP, health insurance liens, Letters of Protection (LOPs), and medical provider billing practices.

Responsibilities

  • Initiate a welcome call upon assignment of each case and educate clients on the reductions and settlement process.
  • Serve as the primary point of contact for clients throughout the reductions phase.
  • Maintain regular communication with clients and provide status updates at least every two weeks.
  • Respond promptly and professionally to client questions and concerns.
  • Schedule in-office appointments when necessary.
  • Review settlement files and identify all outstanding medical balances, liens, and obligations.
  • Verify damages and ensure all treating providers are identified and accounted for.
  • Confirm PIP benefits, health insurance information, and medical provider balances.
  • Negotiate reductions with medical providers, hospitals, lienholders, and other entities to maximize client recoveries.
  • Prepare and submit reduction requests in a timely manner.
  • Review provider ledgers and billing records for accuracy and completeness.
  • Follow up with providers to ensure timely responses and resolution of outstanding balances.
  • Accurately document all case activity, phone calls, correspondence, and updates in Litify and other case management systems.
  • Upload, organize, and maintain case-related documents and releases.
  • Ensure all required documentation is complete and compliant with firm procedures.
  • Screen files for potential discharge issues and escalate concerns as appropriate.
  • Prepare draft closing statements and settlement-related documentation.
  • Verify final balances and ensure accurate distribution calculations.
  • Coordinate with internal departments to facilitate timely case resolution and settlement disbursement.
  • Perform final file reviews to ensure accuracy and completeness before closing.
  • Conduct regular self-audits to ensure accuracy, compliance, and productivity.
  • Monitor assigned caseloads and meet established productivity and performance goals.
  • Develop and maintain weekly projection and status reports.
  • Identify opportunities to improve processes, client satisfaction, and operational efficiency.
  • Deliver a high level of customer service and professionalism throughout the client journey.
  • Request client testimonials and Google reviews following successful case resolution.
  • Contribute to the firm's reputation by providing an exceptional client experience.
