Institute on Aging is seeking a Sourcing Specialist to join our growing Home Care team in the Bay Area. The ideal candidate has experience sourcing and screening candidates in a high-volume metric-driven environment, and is comfortable working with hourly healthcare talent pools such as Home Care Aides. This role is focused on identifying, engaging, and screening qualified Home Care Aides, guiding candidates through all required pre-employment steps—including background checks, fingerprinting, TB testing, physical exams, and documentation—and ensuring a smooth, positive first experience with our Support at Home, Home Care Team. The Sourcing Specialist partners closely with the recruitment team, who will conduct final interviews, make hiring decisions, and lead New Hire Orientation (NHO). This is an ideal role for a mission-focused, positive, customer-centric professional who enjoys the challenge of finding strong Home Care Aide candidates, maintaining high outreach and screening volume, and ensuring each candidate receives a 5-star experience from first contact through onboarding readiness. Main focus: Building a strong pipeline of qualified Home Care Aide candidates through proactive sourcing, screening, and candidate engagement, supporting them through the pre-employment process, and ensuring a smooth handoff to the recruitment team for interview and hiring.

Requirements

  • Experience sourcing or recruiting hourly healthcare, caregiving, or service-industry talent.
  • Experience working in a high-volume, metrics-driven recruiting or sourcing environment.
  • Familiarity with HRIS systems, applicant tracking systems, and candidate documentation processes
  • Ability to conduct structured candidate screens and assess basic qualifications.
  • Strong candidate communication and customer service skills
  • Ability to maintain organization and manage multiple candidates simultaneously.
  • Strong organizational, interpersonal, written, and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to work in a collaborative, fast-paced recruiting environment.
  • Ability to travel throughout the Bay Area for community outreach, recruiting events, and job fairs as needed.
  • Onsite and community presence required as needed, averaging approximately twice per week.
  • BA/BS degree or relevant experience.

Responsibilities

  • Source, identify, and engage qualified Home Care Aide candidates through job boards, outreach, referrals, community partnerships, ticketing systems, and other sourcing strategies.
  • Conduct outreach to candidates who enter the pipeline through Connect, HubSpot, and other inbound lead channels.
  • Monitor job postings and ensure roles remain visible and competitive across relevant job boards.
  • Participate in community outreach efforts, caregiver hiring events, and job fairs to help build the caregiver pipeline.
  • Assist with special recruiting initiatives or hiring campaigns as required.
  • Conduct initial candidate screenings to assess qualifications, availability, communication skills, and alignment with role requirements.
  • When necessary, interview candidates, including onsite interviews, to further assess fit and readiness for hire.
  • Provide candidates with a clear overview of the role, hiring process, and expectations before advancing them to the recruitment team.
  • Partner closely with recruiters/hiring managers to pass along qualified candidates for onsite interviews and hiring decisions.
  • Once an offer has been made, guide candidates through all required pre-employment screenings and documentation, including background checks, fingerprinting, TB testing, physical exams, and other onboarding requirements.
  • Gather pre-onboarding documentation and ensure candidates are prepared for their first day and New Hire Orientation.
  • Provide basic guidance to candidates regarding the HCA/Guardian registration process and direct them to the appropriate team members when needed.
  • Maintain consistent and timely communication with candidates to ensure a positive and professional first impression of IOA at Home.
  • Maintain accurate candidate records and pipeline tracking within the applicant tracking systems and internal systems.
  • Track sourcing activity and performance metrics including outreach volume, screenings, qualified candidate submissions, and onboarding readiness.
