Children of Promise, NYC’s (CPNYC) reimagines a just society that values the purpose of every child impacted by mass incarceration and removes barriers to create opportunities for children to thrive and achieve their full potential. CPNYC’s mission is to support and advocate for the children of incarcerated parents while speaking out against root causes that affect the communities we serve, including systemic racism, poverty. and bias in our nation’s criminal justice system. CPNYC has successfully developed an innovative model, the only one of its kind in New York City, which co-locates a licensed mental health clinic and children's centers in Bedford Stuyvesant, Brooklyn, and the South Bronx. CPNYC provides an array of youth development programming and services tailored to each child's individual strengths and challenges and fosters a unique uplifting environment to foster hope and resilience. Position Overview: The primary role of the Recruitment and Retention Coordinator, under the general direction of the Vice President of Human Resources, is to support and advance the activities of the Human Resources department across core functional areas. This role is responsible for coordinating recruitment and retention efforts, maintaining personnel files, supporting onboarding processes, ensuring compliance, assisting with employee benefits administration, and providing support in employee relations matters. The Recruitment and Retention Coordinator works collaboratively with HR leadership and hiring managers to attract, hire, and retain qualified talent while promoting a positive and consistent employee experience.

Requirements

  • Bachelor’s degree and at two years of administrative experience in human resources
  • Experience in PAYCOM required
  • Proven ability to independently manage multiple administrative tasks and follow appropriate workflow priorities as needed
  • Experience in addressing customer service requests in timely, accurate and professional manner.
  • Competency in Microsoft Office applications and capacity to undertake use of other automated human resource database systems, as needed

Responsibilities

  • Serve as the primary recruiter for all agency positions, including interns participating in the CPNYC Internship Program across Brooklyn and the Bronx.
  • Build and maintain strong relationships with department managers to assess workforce needs and implement effective, equitable hiring practices in alignment with CPNYC policies and guidelines.
  • Manage the full requisition process, ensuring all position requisitions are submitted, approved, and updated accurately.
  • Partner with the HR Director to post positions internally and externally across appropriate job boards and recruitment platforms
  • Screen resumes and proactively source candidates to identify high-quality, mission-aligned talent.
  • Conduct preliminary interviews and maintain timely, professional communication with candidates throughout the recruitment process.
  • Coordinate interviews with hiring managers and HR leadership as needed.
  • Collaborate with hiring managers and the HR Director to evaluate candidates and support final hiring decisions.
  • Maintain accurate recruitment tracking tools and reports, including vacancy reports, applicant tracking logs, intern tracking, and other Excel-based recruitment data.
  • Develop and sustain partnerships with colleges, universities, and workforce development organizations to support the CPNYC Internship Program.
  • Represent the organization at job fairs, career events, and community-based recruiting initiatives to attract diverse talent
  • Execute the Offer of Employment process, including extending verbal offers, preparing contingent offer letters, coordinating reference checks, and initiating background screenings.
  • Coordinate onboarding for all new hires and interns, ensuring a consistent, welcoming, and compliant onboarding experience.
  • Prepare and maintain new hire packets, ensuring all forms and compliance documents are current and complete.
  • Review hire documentation for accuracy and completeness prior to processing.
  • Create and maintain employee personnel files in accordance with record-keeping and confidentiality standards.
  • Coordinate with IT/technology partners to issue email addresses, Office 365 accounts, and equipment (including laptops, when applicable).
  • Facilitate new hire orientation sessions, including logistics such as room setup, materials, and meals.
  • Enter and process new hire information in Paycom HRIS and route appropriately for payroll review.
  • Research emerging DEIA trends, best practices, and legal considerations impacting recruitment and retention.
  • Support the development and implementation of an equity framework aligned with the organization’s mission, values, and strategic goals.
  • Implement inclusive recruitment and retention strategies to attract and retain a diverse workforce reflective of the Brooklyn and Bronx communities.
  • Partner with leadership to execute targeted diversity recruitment initiatives that increase representation.
  • Support training efforts for hiring managers and HR staff on inclusive hiring, evaluation, and retention practices
  • Facilitate and track completion of all required new hire and mandatory trainings.
  • Support assessment of organizational training needs and collaborate with HR and leadership to implement consistent development initiatives.
  • Assist in planning and coordinating agency-wide professional development programs.
  • Track and manage annual training requirements and completion of records.
  • Coordinate employee engagement initiatives designed to improve morale, connection, and retention.
  • Support the creation and facilitation of employee recognition programs.
  • Assist in developing and administering employee surveys to assess engagement, satisfaction, and organizational culture.
