We’re seeking an exceptional Recruiting Coordinator to be the operational backbone of Fluidstack’s talent acquisition function. You’ll be a critical partner to recruiters, sourcers, hiring managers, and candidates alike, ensuring every part of the hiring process runs with precision, speed, and care. This is a high-ownership role for someone who takes pride in flawless execution, thrives in fast-moving environments, and understands that a great candidate experience is a direct reflection of Fluidstack’s brand. You’ll be the connective tissue of the TA team - keeping pipelines moving, data clean, and every stakeholder informed.

Requirements

  • 1–2+ years of recruiting coordination, administrative, or operations experience - ideally in a fast-paced tech or startup environment.
  • Exceptional organizational skills - you can manage high volumes of moving parts across multiple roles simultaneously without losing quality or urgency.
  • Strong written and verbal communication skills - you’re responsive, professional, and clear in every interaction.
  • Hands-on experience with ATS platforms and scheduling tools; familiarity with Greenhouse, Ashby, or similar is a plus.
  • High attention to detail and a low tolerance for data errors - you know that clean systems produce better outcomes.
  • Proven ability to operate autonomously in a fast-moving environment, prioritize competing demands, and maintain composure under pressure.

Responsibilities

  • Own interview coordination end-to-end: Schedule and manage complex, multi-stakeholder interviews across virtual and in-person formats, time zones, and roles - with zero dropped balls.
  • Deliver a white-glove candidate experience: Serve as the primary point of contact for candidates throughout the interview process, ensuring every touchpoint is responsive, clear, and reflects Fluidstack’s standards.
  • Keep the machine running: Proactively anticipate and resolve scheduling conflicts, logistical issues, and process bottlenecks before they become problems.
  • Maintain data integrity: Own accurate, up-to-date candidate records and workflow tracking in the ATS. Clean data is non-negotiable - it drives the decisions that matter.
  • Support the TA team operationally: Partner with TA Partners and Sourcers on administrative and operational tasks that keep pipelines healthy and hiring moving at pace.
  • Identify and improve: Spot friction in the process, flag it, and help build better workflows. Leave every system you touch better than you found it.
