About The Position

Muon seeks a Recruiting Coordinator to join our Talent Acquisition team. The ideal candidate is highly organized, detail-oriented, and proactive, with excellent communication skills and the ability to manage multiple priorities in a fast-paced environment. In this role, you’ll be instrumental in delivering a seamless candidate experience while supporting recruiters and hiring managers throughout the interview process. This is a great opportunity for someone who thrives in a dynamic environment and is passionate about helping teams grow. This hybrid role is based out of our San Jose, CA office, requiring on-site attendance 3 to 4 times per week, with occasional travel to our Mountain View, CA office.

Requirements

  • 1+ year of experience in a recruiting coordinator, recruiting operations, or similar role in a fast-paced technical environment.
  • Strong attention to detail and organizational skills
  • Excellent verbal and written communication
  • Proven ability to manage multiple priorities with a positive, team-oriented attitude
  • Proficiency with Google Workspace (Calendar, Gmail, Docs), Slack, and Greenhouse
  • Proven ability to manage multiple priorities, adapt to changing business needs, and thrive in a fast-paced environment.
  • Experience coordinating complex interview schedules across multiple time zones and seniority levels.
  • Strong problem-solving skills with the ability to proactively identify and resolve scheduling conflicts.
  • Demonstrated ability to build positive relationships with candidates, hiring managers, and interviewers.

Responsibilities

  • Coordinate and schedule interviews across time zones, including virtual and on-site meetings
  • Serve as the primary point of contact for candidates, ensuring timely and clear communication throughout the interview process
  • Maintain our applicant tracking system (Greenhouse), including accurate candidate records, job descriptions, interview plans and postings
  • Partner with recruiters and hiring managers to drive an efficient, organized hiring process
  • Manage interview logistics such as booking rooms, setting up video links, and handling travel arrangements when applicable
  • Greet and support candidates during on-site interviews, ensuring a welcoming and professional experience
  • Support broader recruiting efforts including headcount tracking, reporting, and sourcing
  • Help coordinate recruiting events and internal sourcing jams
  • Identify opportunities for process improvements that enhance candidate experience and team operations
