About The Position

This role provides administrative support to the Recruitment Department to facilitate the flow and processing of candidates, ensuring recruitment requisitions are satisfied while adhering to Austal Policies, AAP, and OFCCP guidelines. The position involves managing candidate documentation, scheduling, tracking job openings, and assisting with various recruiting functions.

Responsibilities

  • Check Closed Requisition Files for completeness and accuracy to assure documentation adheres to Austal’s Polices, AAP and OFCCP guidelines, and follow up with assigned recruiters for missing information.
  • Scan and attach interview questions and evaluations into candidate profiles in the applicant tracking system.
  • Maintain a spreadsheet of completed Closed Requisition Files for tracking purposes.
  • Assist with scheduling candidates for interviews, pre-employment testing, and other follow-up via telephone and email.
  • Track and update job openings on career and alumni job boards.
  • Perform daily searches for duplicate applications in the applicant tracking system for merging.
  • Handle daily delivery and retrieval of inner office mail.
  • Answer incoming calls and retrieve messages from the Recruitment phone line.
  • Assist the Recruitment department with weekly internal job postings.
  • Backup Recruiters and assist as needed.
  • Add external recruiting agencies, perform requisition maintenance, and prepare job postings.
  • Assist the Recruitment department by attending job fairs, assisting with New Hire/Contractor orientations, and other recruiting functions.
  • Perform initial screening of candidate profiles in the applicant tracking system, identifying those meeting minimum job description requirements and changing candidate main statuses for recruiter review.
  • Assist the Recruitment Coordinator and Recruiters with scheduling interviews, testing, pre-employment screenings, and other scheduling as directed.
  • Schedule and make arrangements for individual and small-scale training classes, meetings, tours, and conferences as indicated by the Manager; making IFS entries, coordinating visitor requests, generating class reminders, rosters, and coordinating with participants, trainers, and/or department leads.
  • Document training activity in the training database as directed by the Manager.
  • Perform general clerical duties including photocopying, mailing, documenting, editing, filing, scanning, recordkeeping, and maintenance of records.
  • Track training for 4,000+ employees.
  • Support Training staff in assigned project-based work.
  • Create and maintain standard work instructions for tasks/work assignments.
  • Perform miscellaneous related tasks/projects as assigned.
