About The Position

Performs technical work of routine difficulty in collecting, analyzing, and routing data from reports and records specific to the assigned department. This role involves a variety of clerical and office tasks, including data entry and retrieval, maintaining filing systems, compiling data, preparing reports, handling money and receipts, managing phone calls and visitors, keeping office records, proofreading, coding, and coordinating clerical workflows. The technician will also handle requests for records information, classify and analyze reports, compile statistics, verify information, and build statistical data. Special project research and analysis may also be assigned.

Requirements

  • High school diploma or equivalent.
  • A minimum of one (1) year of general office experience.
  • Must possess a valid Arizona driver’s license.
  • Knowledge of departmental clerical and office procedures, including various internal programs.
  • Knowledge of various data processing systems.
  • Knowledge of business English, spelling, grammar, punctuation, and composition.
  • Knowledge of clerical office practices and procedures.
  • Knowledge of research techniques and report writing.
  • Knowledge of current Microsoft Office software.
  • Knowledge of filing and recordkeeping.
  • Skill in communicating effectively verbally and in writing and communicating orally in a face-to-face setting and by telephone with public and employees.
  • Skill in establishing and maintaining effective working relationships with employees, other agencies, and the public.
  • Skill in organization and adherence to detail.
  • Ability to maintain records and prepare accurate reports.
  • Ability to follow written and verbal instructions.
  • Ability to type at a minimum speed of twenty-five (25) WPM.
  • Ability to develop and maintain effective working relationships with associates, employees of other departments, representatives of other organizations, County officials, and the public.
  • Ability to keep management informed of key operating issues affecting the department.
  • Ability to remain current in knowledge required to perform assigned duties.
  • Ability to handle confidential matters and maintain discretion always.
  • Ability to act with courtesy, tact, and diplomacy.
  • Ability to sit or stand for extended periods of time.
  • Sufficient vision to read printed materials and a computer screen; hearing and speech ability to communicate effective in-person and telephonically.
  • Capable of frequent repetitive movement of arms, fingers, and wrists.
  • Ability to lift up to 30 pounds.
  • For Information Technology Services (ITS): Ability to sit or stand for extended periods of time; must be able to bend, stoop, kneel, reach, push, pull, crawl under desks, climb ladders, and walk on uneven ground routinely.
  • For Information Technology Services (ITS): Sufficient vision to read printed materials and a computer screen; hearing and speech ability to communicate effectively in person and telephonically.
  • For Information Technology Services (ITS): Standing and walking between work areas is frequently required.
  • For Information Technology Services (ITS): Capable of frequent repetitive movement of arms, fingers, and wrists.
  • For Information Technology Services (ITS): Capable of overhead lifting; lift and carry up to 45 pounds; push and pull materials and objects up to 100 pounds with assistive equipment such as a pallet jack.

Responsibilities

  • Performs a variety of clerical and office tasks, including entering and retrieving data from computer database programs, maintaining filing systems, compiling data and preparing reports; receiving money and entering receipts; handling incoming phone calls and assisting visitors; keeping account and other office records; proofreading and coding; and coordinating flow of clerical work with that of other departments and agencies.
  • Handles public and agency requests for records information, both by telephone and in person.
  • Classifies reports, sorts, and analyzes information, compiles statistics, verifies information, and builds and maintains statistical data.
  • May perform special project research and analysis as assigned.
  • Performs other job-related duties as assigned.
