About The Position

United Services Automobile Association (USAA) is seeking an experienced Recorder / Committee Minutes Specialist to support its Risk Governance and Management Committees. This role is a 6-month contract covering a team member on medical leave and plays a critical role in producing audit-ready, legally compliant committee minutes. This position supports 11 risk-related committees and requires someone who is highly detail-oriented, discreet, and skilled at capturing complex discussions objectively and accurately.

Requirements

  • 2–3+ years of experience in: Technical writing, Committee or board-level minute taking, Documentation involving legal, risk, or governance topics
  • Strong ability to summarize complex discussions objectively and accurately
  • Exceptional attention to detail with experience in document controls and versioning
  • Proficiency in Microsoft Word (primary tool); familiarity with PowerPoint
  • Ability to manage multiple stakeholders and review timelines
  • High level of discretion and comfort handling confidential information
  • Strong written and verbal communication skills

Nice To Haves

  • Background in legal, compliance, governance, or risk environments
  • Experience as a paralegal, copy editor, or legal assistant
  • Prior experience working with executive committees or regulated environments

Responsibilities

  • Attend committee meetings (typically up to 2 hours) as the official recorder
  • Capture and document: Attendance, quorum, arrivals/departures, member vs. guest roles; Key discussions, deliberations, effective challenge, decisions, votes, and action items
  • Draft clear, concise, and impartial meeting minutes using legal-approved templates
  • Produce draft minutes within defined service-level objectives (typically within one week of meetings)
  • Coordinate reviews and revisions with presenters, Committee Secretaries, Chairs/Vice Chairs, and Legal
  • Handle confidential and executive sessions appropriately, ensuring sensitive information is managed correctly
  • Maintain version control, document standards, and official historical committee records
  • Archive final, approved minutes and ensure all approvals and signatures are completed
  • Maintain detailed backup notes to support follow-up questions from stakeholders, auditors, or regulators
  • Partner with the Committee Coordinator to track action items
  • Shadow and undergo peer review with the current recorder during onboarding before working independently
  • Complete writing, documentation prep, and reference updates during non-meeting time
