About The Position

The Illinois Department of Corrections is seeking a motivated, organized, and professional Office Coordinator for the Record Office at Pinckneyville Correctional Center. This candidate will demonstrate a strong understanding of office practices and procedures while performing technical office support functions and work that is coordinative in nature. This position maintains a complex tracking system as a verification check of individuals in custody to be released, regulates, monitors and processes information and documents regarding sentence calculations and monitors O360 to ensure correct data accuracy and performs other organizational, clerical and keyboarding functions in this position. Requirements

  • Requires knowledge, skill and mental development equivalent to two (2) years of secretarial/business college, or completion of high school and two (2) years of related office experience, or two (2) years of independent business experience.
  • Requires ability to keyboard accurately at 30 WPM.
  • Requires ability to pass the IDOC/IDJJ background check.
  • Requires ability to pass a drug screen. The use of unauthorized drugs by an employee, regardless of position held, is prohibited.
  • Applicants are required to abide by all vaccine and/or other medical standards as set out by the employer.
  • Required to utilize digital technology, tools, platforms, and processes in managing and supporting various digital enhancements for greater efficiency, productivity, and digital transformation efforts within the department.

Nice To Haves

  • Prefers at least two (2) years of work experience using Offender360 software or similar computer tracking program.
  • Prefers at least three (3) years of work experience using Microsoft Office Suite or similar program.
  • Prefers at least three (3) years of work experience gathering data to complete projects in a work setting.
  • Prefers at least three (3) years of work experiencing handling confidential information.
  • Prefers at least three (3) years of work experience interpreting and preparing reports.
  • Prefers at least three (3) years of work experience preparing and proofreading written correspondence including emails, letters, and/or memoranda.
  • Prefers at least three (3) years of work experience creating, maintaining, and filing documents and/or reports.
  • Prefers at least three (3) years of work experience operating and using automated and manual office equipment.

Responsibilities

  • Performs technical office support functions and technical work that is coordinative in nature.
  • Maintain a complex tracking system as a verification check of individuals in custody to be released.
  • Regulates, monitors, and processes information and documents regarding sentence calculations.
  • Monitors the Offender360 to ensure correct data for appropriate time awards, time revocations, projected release dates, and mandatory release dates.
  • Organizes and maintains all files relating to the education good conduct credits and the earned program sentence credits.
  • Keyboards a variety of correspondence, reports or other information from handwritten hard copy.
  • Performs other duties as required or assigned which are reasonably within the scope of those enumerated above.
