About The Position

The Illinois Department of Corrections is looking for a detailed oriented person to serve as an Office Associate at the Graham Correctional Center. In this position you will perform a variety of clerical duties, prepare daily schedules and pass/call tickets for call lines, serve as receptionist, and maintain files for the Health Care Unit. In addition, you will schedule appointments, and prepare timesheets, invoices and reports. The ideal candidate would be a self -motivated, task oriented, organized individual with strong interpersonal and communication skills. We encourage all qualified individuals to apply!

Requirements

  • Requires knowledge, skill and mental development equivalent to completion of high school and two (2) years of office experience.
  • Requires the ability to keyboard accurately at 45 wpm.
  • Requires ability to pass the IDOC/IDJJ background check.
  • Requires ability to pass a drug screen. The use of unauthorized drugs by an employee, regardless of position held, is prohibited.
  • Required to utilize digital technology, tools, platforms, and processes in managing and supporting various digital enhancements for greater efficiency, productivity, and digital transformation efforts within the department.
  • Requires incumbent to become a Notary within the first four (4) months of being placed in the position, and requires incumbent to maintain active Notary status once it’s obtained.
  • Applicants are required to abide by all vaccine and/or other medical standards as set out by the employer.

Responsibilities

  • Performs a variety of clerical duties involving medical terminology, technical and statistical data and reports, weekly and monthly schedules, and highly confidential correspondence for both individuals in custody and employees (review board hearings).
  • Prepares daily schedules and pass/call tickets for health care services call lines, (nurse and doctor sick call, psychiatrist line and psychologist groups, optical and dental lines) and other clerical duties such as keyboarding, copying correspondence and reports.
  • Serves as a receptionist for the Health Care Unit and Mental Health Unit.
  • Maintains files for Health Care Unit including highly confidential medical reports and documents.
  • Schedules special clinic appointments, prepares contractual timesheets, invoices and reports and forwards to contractual health care provider.
  • Performs other duties as required and assigned which are reasonably within the scope of the duties enumerated above.
