About The Position

This position is an important contributor to the creation and publication of an electronic record for all patient types. The role involves accurate and timely record processing, including loose report filing and imaging, picking up discharge records, updating old records, prepping inpatient, ER, and outpatient records, and filing charts in alphabetical and terminal digit order. The specialist examines pages and verifies patient identification, batches and scans records, and performs quality control and validation. They also assist customers, maintain scanning equipment, and are expected to speak and read English proficiently. The role requires knowledge of standard office equipment and computer software skills, including MS Windows, Excel, Access, Word, Powerpoint, internet, and e-mail, with proficient Windows computer skills required upon employment or within the first two weeks. The individual will perform other assigned duties and adhere to Palomar Health rules, policies, procedures, applicable laws, and standards, upholding the mission, vision, and quality commitment of Palomar Health.

Requirements

  • Speak and read English at a level that is sufficient to satisfactorily perform the essential functions of the position.
  • Knowledge of standard office equipment (i.e., calculator, fax, photocopier).
  • Personal computer and computer software skills (i.e., MS Windows, Excel, Access, Word, Powerpoint, internet, e-mail).
  • Windows computer skills including proficient use of keyboarding, use of mouse or keys for functions such as selecting items, use of drop down menus, scroll bars, opening folders, copying and similar operations required upon employment or within the 1st two weeks of employment.
  • High School Diploma and/or combination of education and experience.
  • 1 - 3 years experience in chart assembly, discharge record processing and previous HIS I or related experience.

Nice To Haves

  • Completion of a health information related vocational program.
  • 1 - 3 years in an acute hospital health information department.

Responsibilities

  • Contribute to the creation and publication of an electronic record for all patient types.
  • Perform accurate and timely record processing, including loose report filing and imaging.
  • Pick up discharge records and update old records.
  • Prep inpatient, ER, and outpatient records.
  • File charts in alphabetical order and terminal digit order.
  • Examine pages and verify patient identification on each page.
  • Appropriately batch and scan inpatient, ER, and outpatient records.
  • Perform QC/Validation as assigned.
  • Assist customers when needed.
  • Maintain scanning equipment in good working order.
  • Perform other duties as assigned.
  • Follow Palomar Health rules, policies, procedures, applicable laws and standards.
