About The Position

Join the Oregon Public Defense Commission as a Receptionist for the Medford Office Trial Division and serve as the welcoming first point of contact for our clients, visitors, and partners! Requirements

  • Two (2) years of general clerical experience, one (1) year of which included typing, word processing, or other experience generating documents, OR Graduation from a private school of business with a Certificate in Office Occupations or Office Technology and one (1) year of general clerical experience.
  • College courses in Office Occupations or Office Technology will substitute for the required experience on a year-for-year basis.

Nice To Haves

  • Experience working in a legal office preferred.
  • Ability to demonstrate clear, courteous, and compassionate communication in person and by phone, with the ability to interact effectively with clients, attorneys, court personnel, and community partners – often in high stress situations.
  • Must be able to effectively prioritize tasks, manage calendars, coordinate meetings, and process mail and legal documents with accuracy and attention to detail in a fast-paced legal environment.
  • Experience using case management systems such as Clio, maintaining accurate records, scheduling events, setting reminders, and ensuring timely communication across teams.
  • Ability to exercise discretion when handling sensitive legal and personal information, understands the importance of confidentiality in a public defense setting, and applies sound judgement in routing inquiries and documents.
  • Must be able to actively support attorneys, investigators, and administrative staff while contributing positively to cross-divisional efforts.
  • Ability to demonstrate cultural awareness and respect for diverse backgrounds, with the ability to provide Spanish interpretation and ensure equitable access to services for clients with varying language needs.

Responsibilities

  • Serve as the first point of contact by welcoming visitors, directing them to appropriate personnel or resources.
  • Answer and route phone calls, and implement call intake procedures.
  • Manage administrative and scheduling tasks using Clio, including updating contact information, creating events, setting reminders, monitoring attorney calendars and coordinating conference room use.
  • Process incoming mail and legal documents.
  • Support attorneys and staff.
  • Provide Spanish interpretation as needed.
  • Assist with special projects or additional duties as assigned.
  • Actively participate as a supportive team member by assisting co-workers, supervisors and related partners as needed.
  • Help to build strong working relationships with internal and external stakeholders through collaboration, cross-divisional involvement, and constructive problem-solving.
