About The Position

The Receptionist greets visitors, answers and routes calls, and responds to internal and external inquiries with accurate information. This role may also perform administrative activities such as scheduling, directing visitors, and managing mail and packages. The Receptionist is responsible for maintaining office supply inventory, utilizing Microsoft Outlook, and managing paper and electronic files. They may also prepare the office for meetings, sort and distribute mail, serve as the point of contact for office equipment issues, and file/scan documents. Additionally, the Receptionist will recognize constituent achievements, manage the Representative's inbox, and handle incoming constituent correspondence and questions. The role requires the ability to operate in a fast-paced professional office environment, handle standard office equipment, and occasionally lift up to 10 pounds.

Requirements

  • Ability to interact and work with diverse communities and personalities in a professional and helpful manner
  • Proficiency with standard office equipment
  • Ability to communicate with members and colleagues effectively and provide and receive feedback professionally
  • Strong organizational skills including, but not limited to, calendar and email management and ability to prioritize tasks as needed
  • Ability to follow-up and complete tasks

Nice To Haves

  • High School diploma with more than 2 years of professional work experience; or Clerical training and/or certificate.
  • Prior legislative or related work experience for elected or appointed officials, advocacy groups or non-profit organizations is preferred.

Responsibilities

  • Answer telephone and transfer calls

  • May prepare office for meetings by consulting calendars and conferring with staff
  • Responsible for sorting, screening and distributing incoming and outgoing mail
  • Serve as the point of contact for issues that may arise with office equipment
  • File and scan documents
  • Recognize constituent achievements or events in district via letters, citations, etc.
  • Manage the Representative’s inbox and all incoming constituent correspondence/questions
  • Able to operate in a fast-paced professional office environment; handle or operate standard office equipment and occasionally lift up to 10 pounds
