About The Position

Join our team as a receptionist for a dedicated 5-week assignment (June 29th - July 31st), where consistent attendance is essential to ensure smooth operations. In this customer-facing role, you'll be the first point of contact for all in-person visitors, customers, clients, and business partners, requiring a professional and polished demeanor. Under the general direction of the Human Resources Manager, this individual is responsible for operating the AVAYA VOIP system that includes direct inward dialing as well as hunt and group line phone system functionality for the Florham Park, NJ headquarters. This person is also responsible to screen and direct all visitors to the building according to CPAT regulations.

Requirements

  • High school diploma required.
  • Minimum of 2-4 years of related experience and/or training working in an office setting in an independent capacity.
  • Demonstrates professionalism in communications with others in person or over the phone.
  • Demonstrates a high attention to detail.
  • Self-starter who can prioritize daily work independently.

Responsibilities

  • Answering all incoming telephone calls, determining the purpose of callers, and forwarding calls to the appropriate personnel or department.
  • Monitoring the Chronical phone database to ensure calls are transferred correctly within the sales regions.
  • Answering questions about the organization and providing callers with address, directions, and other information when appropriate, ensuring confidential information is not released.
  • Welcoming on-site visitors, determining the nature of business, and announcing visitors to internal personnel. Ensuring all security and identification procedures are followed for all visitors.
  • Unlocking and locking the front office vestibule doors daily.
  • Receiving, sorting, and routing mail, maintaining and routing publications. Maintaining the USPS meter dollar balance and weighing and posting the mail daily.
  • Ordering, receiving, and maintaining office supplies.
  • Creating memos, correspondence, reports, and other documents when necessary.
  • Performing other clerical duties as needed, such as filing, scanning, updating reports and helping with ad-hoc projects for other departments.
  • Coordinating catering for company meetings including the Board of Director meetings as required. Setting up and taking down catering deliveries.
  • Overseeing the breakroom and coffee areas around the building and ensuring they are stocked with allocated supplies and conducting light cleaning when necessary.
