About The Position

The Receptionist operates the switchboard, paging, and beeper systems, receiving and directing incoming calls. They are responsible for screening and directing all incoming persons, answering inquiries according to established policies, enforcing visitation policies, and reporting suspicious individuals. The role also involves maintaining various logs and lists, assisting departments with clerical duties, handling emergencies, and notifying supervisors of supply and maintenance needs. Confidentiality of resident information, in accordance with HIPAA guidelines, is paramount. The Receptionist is a key person during fire and disaster situations, with specific duties outlined in the facility's plan.

Requirements

  • High school graduate with course in typing.
  • Ability to operate a switchboard (skill may be acquired through on-the-job training).
  • Must be pleasant and have a pleasant speaking voice.
  • Must be well groomed.
  • Must be courteous, patient, and tactful when dealing with the public and residents.
  • Must be able to cooperate with other personnel.
  • Maintains confidentiality.
  • Good care and use of supplies and equipment.

Responsibilities

  • Operate switchboard, paging and beeper systems.
  • Receive incoming calls and relay them to the appropriate person or location.
  • Screen and direct all incoming persons.
  • Answer inquiries according to established release of information policies.
  • Enforce visitation policies and orders.
  • Refuse admission to objectionable persons.
  • Report suspicious persons to the appropriate department.
  • Supply long distance call log forms and perform telephone billing functions.
  • Maintain and post emergency numbers, personnel lists, and resident lists.
  • Maintain the bulletin board in the lobby.
  • Provide directions to residents, visitors, guests, and sales representatives.
  • Ensure persons entering the facility abide by visiting rules and regulations.
  • Assist departments with clerical duties such as typing, stuffing envelopes, and copying.
  • Handle emergencies in accordance with facility’s policy.
  • Notify the Supervisor of department's supply, equipment, and maintenance needs.
  • Treat resident information as confidential material as identified in the HIPAA guidelines.
  • Maintain a neat and orderly work area.
  • Familiarize with and participate in Fire and Disaster Plan duties and drills.
