About The Position

The Receptionist serves as the primary point of contact for employees, clients, visitors, and vendors within Opensity Solutions client environments. This role is responsible for creating a professional and welcoming experience through exceptional customer service, front desk management, communication coordination, and administrative support. The Receptionist plays a key role in maintaining efficient office operations, supporting workplace organization, and ensuring a positive client and guest experience. The position reports to the Lead Receptionist or Client Relations Manager.

Requirements

  • Minimum of five years in a similar role in a professional office environment, ideally in a law firm.
  • Ability to handle multiple projects with changing priorities while working independently in a fast-paced environment.
  • Ability to work overtime, evenings, and weekends, as needed.
  • Possess excellent spelling, grammar, and punctuation skills.
  • Excellent interpersonal and communication skills, with a polished and professional demeanor.
  • Strong attention to detail, ability to prioritize tasks, and excellent time management skills to meet deadlines.
  • Proficiency in Microsoft Office Suite (Word, Outlook, Excel) and general office technology.
  • Ability to maintain confidentiality and exercise discretion in handling sensitive information.
  • Reliable, punctual, and proactive with a client-focused mindset.
  • Ability to lift or move 40 lbs. or greater
  • Ability to grasp, lift or carry packages on a standard wheeled cart with a load capacity of 75 lbs.
  • Ability to walk, bend, kneel, stand or sit for an extended period of time

Responsibilities

  • Greet and assist clients, visitors, vendors, and staff with professionalism and courtesy.
  • Manage incoming calls and direct inquiries.
  • Maintain the reception area, conference rooms, and cafe to ensure they are tidy and welcoming.
  • Provide a high level of hospitality, ensuring a positive first impression for clients and guests.
  • Schedule and confirm visitor office reservations.
  • Schedule and confirm conference room reservations, ensuring appropriate setup.
  • Coordinate and order food for meetings and events.
  • Create and send the Daily Report and ensure accuracy on a daily basis
  • Act as a resource for attorneys and staff by directing questions or escalating issues as appropriate.
  • Communicate any maintenance issues or needs to the rest of the support team in a timely manner.
  • Assist with the planning and execution of office events.
  • Serve as the backup for reconciling the office credit card.
  • Assist with ordering snacks and supplies for the office.
  • Assist with copying, scanning, filing, and faxing, as needed.
  • Special projects as assigned.
  • Follow security and emergency procedures. Respond to emergency situations in a calm, efficient manner, promptly notifying appropriate assistance and making all required notifications according to firm and office policy.
  • The ability to develop and maintain relationships with others, and to work with others toward a common goal by working cooperatively, developing positive relationships, and providing information and assistance willingly.
