About The Position

This position is accountable for greeting residents, staff, and visitors in person or on the telephone, in a manner that promotes Covenant Living in a positive, professional way. The Receptionist will answer all telephone calls quickly, transfer calls appropriately, and take messages when needed. They will monitor the emergency system, direct staff to emergent situations, call emergency personnel, and complete resident checks. The Receptionist will provide information to visitors, ensure they are directed appropriately, and that they sign in and wear badges. They will also keep the reception desk and lobby clean and organized, assist residents with program sign-ups and payments, and be knowledgeable about office equipment. Additionally, they will sell postage stamps, receive and sort mail, log packages, and inform residents/staff of package arrivals. The role involves facilitating maintenance requests, supporting other departments with clerical duties, and assisting the Office Manager.

Requirements

  • High school education or equivalent.
  • One year of clerical experience.
  • Highly organized, detail oriented with excellent interpersonal and communication skills both verbal and written in English.
  • Pleasant personality and telephone voice.
  • Ability to remain calm in an emergency situation.
  • Complete confidentiality when circulating general information.
  • Knowledge of computers including Microsoft Office Suite.
  • Interest in and desire to work with older adults.

Responsibilities

  • Greeting residents, staff, and visitors in person or on the telephone.
  • Answering all telephone calls quickly in a polite, personal, and friendly manner.
  • Transferring calls appropriately.
  • Taking messages when the individual requested is not available.
  • Monitoring the emergency system, directing staff to emergent situations, calling emergency personnel as appropriate, and completing resident checks.
  • Providing information to visitors and directing them to the appropriate individual.
  • Ensuring all visitors/contractors sign in and wear appropriate badges.
  • Keeping the reception desk and lobby clean and organized after each shift.
  • Assisting residents in signing up for programs and activities and collecting payment.
  • Monitoring office equipment, reporting supply needs and issues to the Lead Receptionist.
  • Selling postage stamps and postage to residents and staff.
  • Receiving packages and mail, sorting mail, and logging in packages.
  • Informing residents/staff of packages to pick up.
  • Facilitating maintenance requests, inputting requests into the system, and communicating urgent or emergent situations to appropriate staff.
  • Completing monthly charge sheets in accordance with procedure.
  • Supporting other departments in clerical duties as assigned by the Office Manager.
  • Supporting the Office Manager in clerical duties and maintenance of the reception area.
