Requirements

  • High School Diploma/GED required
  • A minimum of 2 years medical office or healthcare facility experience.
  • Strong PC skills
  • Knowledge of CPT, ICD-10 and HCPCS coding.
  • Microsoft Office Suite proficient (Excel, Word, PowerPoint, Outlook, etc.).
  • A Valid NY State Driver’s license or ability to travel within Westchester County is required.

Nice To Haves

  • College degree with a medical, business or healthcare focus preferred.

Responsibilities

  • Greet patients, activate patient files, and move patients through predetermined protocols on a daily basis.
  • Greet incoming patients in a friendly and professional manner with a smile.
  • Instruct patients to complete paperwork.
  • Obtain complete and accurate information from the patient for billing and demographics purposes.
  • Update patient demographics and insurance information as required.
  • Answer all incoming calls in a friendly and professional manner before the third ring, or timely.
  • Communicate accurate information to callers in a customer-oriented manner.
  • Route calls to the intended recipient timely and accurately.
  • Complete administrative duties that ensure the patient’s visit is smooth, billing can be processed timely and accurately, and the front office remains clutter-free and organized.
  • Collect co-pays at the time of visit in accordance with patient insurance guidelines.
  • Perform insurance verification and eligibility for every visit in accordance with practice protocol.
  • Prepare referrals for patients as requested.
  • Task authorizations/referrals in accordance with each office location's requirements based on providers at each location.
  • Confirm future appointments.
  • Email the census to the Practice Manager daily.
  • Maintain and adhere to HIPAA compliance and patient confidentiality policies.
  • Maintain lobby/front desk cleanliness and organization.
  • Utilize knowledge of ICD-10, CPT4, HCPCS coding, as well as Workers Compensation/No Fault front-end responsibilities (C4, MG2, etc.).
  • Daily use of Electronic Practice Management System (currently MedGen) and adhere to all policies and procedures related to workflows in MedGen as well as appropriate use of MedGen.
  • Attend business-related meetings as requested.
  • Assist within other areas of the practice when required.
  • Provide customer service in accordance with clinic mission.
  • Demonstrate ability to be courteous and respectful when interacting with patients, patient’s family members/caregivers, co-workers, and all other individuals.
  • Maintain patient confidentiality in accordance with policy and procedure and HIPAA requirements.
  • Enact proper chain of command for patient complaints, office and practice needs that require management input and awareness.
