About The Position

The Receptionist serves as the first point of contact for staff, vendors and external guests, providing a professional and welcoming presence at the front desk of a busy biopharmaceutical office. This role is responsible for managing incoming communications, coordinating visitor logistics, deliveries, and supporting day-to-day office operations under the leadership of the Director, Strategic Planning and Operations. The successful candidate will demonstrate strong organizational skills, discretion, and a commitment to delivering excellent service while ensuring the front office runs smoothly and efficiently. The role will also work closely with the office manager, including serving as their back-up and right-hand as needed.

Requirements

  • High school diploma or equivalent required; additional administrative training or coursework preferred.
  • 1–3 years of experience in a receptionist, front desk, or administrative support role.
  • Excellent interpersonal and communication skills.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple tasks and prioritize in a fast-paced environment.
  • Proficiency in Microsoft Office (Outlook, Word, Excel) and Concur preferred.
  • Demonstrated professionalism, reliability, and customer-service orientation.
  • Strong sense of discretion and reliability

Nice To Haves

  • Additional administrative training or coursework preferred.
  • Proficiency in Concur preferred.

Responsibilities

  • Greet and assist staff and external guests in a courteous and professional manner.
  • Manage guest check-in procedures, notify hosts of arrivals, and ensure visitors follow building and office security protocols.
  • Assist office manager with scheduling conference rooms, coordinating meeting logistics, and supporting internal events as needed.
  • Receive, sort, and distribute incoming mail and packages; coordinate outgoing shipments and courier services.
  • Provide general administrative support under the leadership of the office manager.
  • Monitor common areas to ensure they remain orderly and presentable; report maintenance issues when necessary.
  • Handle sensitive information with discretion and maintain a professional demeanor at all times.
