About The Position

This role provides general administrative and clerical support. The primary responsibilities include greeting and welcoming visitors, managing phone calls, scheduling appointments, and maintaining the reception area. A key aspect of this role involves maintaining the confidentiality of all resident care information, including protected health information, and promptly reporting any suspected or known violations.

Requirements

  • Must possess, as a minimum, a high school diploma or GED.
  • Basic knowledge of Microsoft Suite products.
  • Basic knowledge of clerical functions.
  • Basic knowledge of multiline phone system.

Nice To Haves

  • Previous administrative or receptionist experience preferred.

Responsibilities

  • Provide general administrative and clerical support.
  • Greet and welcome patients, clients, and other visitors with a friendly and positive demeanor.
  • Answer telephone calls and take messages or forward calls.
  • Check visitors in and direct or escort them to specific destinations.
  • Inform other employees of visitors’ arrivals and cancellations.
  • Maintain visitor sign in log.
  • Handle incoming and outgoing mail.
  • Schedule appointments and maintain meeting room bookings.
  • Maintain and tidy the reception area.
  • Perform other duties as assigned.
  • Agree not to disclose resident’s protected health information and promptly report suspected or known violations of such disclosure to the Administrator.
  • Maintain the confidentiality of all resident care information including protected health information.
  • Report known or suspected incidents of unauthorized disclosure of such information.
