About The Position

Quinault Wellness Center is seeking a compassionate, organized, and dependable Receptionist to join their team. This role is crucial as the first point of contact for clients, setting a positive tone for their recovery journey. The center offers a holistic and integrated approach to treatment, including substance use services, medical care, dental care, behavioral therapy, and community support. The receptionist will perform routine clerical duties, assist with patient registration and scheduling, manage payments, and maintain confidentiality in accordance with HIPAA and PHI regulations. The position is located on the Olympic Peninsula, offering a beautiful natural environment and numerous outdoor recreational activities.

Requirements

  • At least one (1) year of experience with an Electronic Health Records (EHR) or Electronic Medical Records (EMR) system.
  • High school diploma or GED equivalent required.
  • Exceptional multi-tasking and customer service skills.
  • Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, transcription, designing forms, and other office procedures and terminology.
  • Knowledge and adherence to state (RCW, WAC) and federal confidentiality regulations.
  • Knowledge of HIPAA and PHI requirements.
  • Knowledge of common office and administrative procedures.
  • Skills in the operation of a personal computer and standard office programs and equipment.
  • Ability to work in a cross-culture environment and understand the social and cultural context of our patients.
  • Ability to prioritize multiple tasks with frequent interruptions.
  • Ability to provide excellent customer service.
  • Ability to establish and maintain effective working relationships with patients, staff, and outside agencies.
  • Must be able to report to work on time and work their full scheduled shift.

Nice To Haves

  • Previous experience in a primary care clinic.
  • Previous experience working with those who have been diagnosed with a Substance Use Disorder.

Responsibilities

  • Serve as the first point of contact for patients, clients, and visitors, welcoming them courteously and professionally.
  • Verify patient contact and insurance information on file.
  • Arrange appointments and register patients, ensuring all demographic information is current.
  • Answer non-medical questions and provide routine non-medical instructions.
  • Enter demographics of new patients, including insurance information, into the computer.
  • Answer and screen telephone calls and take messages.
  • Coordinate the exchange of patient data with referral sources.
  • Collect, verify, and enter information in the billing system for all insurance and third-party resources for payment.
  • Coordinate and schedule appointments for multiple providers.
  • Assist and inform clients regarding the established process, maintaining confidentiality and ensuring full compliance with all HIPAA and PHI regulations.
  • Utilize Electronic Health Record (EHR) program to place information updates and appointment reminders.
  • Verify insurance coverage and eligibility on an individual basis.
  • Verify patient eligibility on an individual basis.
  • Assist staff with faxes, printing of notes, and all other office-related tasks.
  • Cross-train to assist staff with all other duties when unavailable.
  • Perform other duties as assigned.
  • Adhere to all QCH and QWC Policies.
