About The Position

Under direct supervision, performs routine clerical, secretarial, and general office assistance duties that are limited in variety and scope. Work typically involves screening visitors, answering the telephone, directing calls, and responding to basic requests for information. The employee is responsible for performing routine clerical tasks requiring the limited application of office procedures and departmental rules and regulations within established guidelines. Detailed instructions are given, and most tasks are routine and repetitive in nature. Reports to the principal. Position requires working closely with students, parents, and staff.

Requirements

  • General knowledge of computers and appropriate software.
  • Ability to demonstrate proper telephone etiquette.
  • Ability to screen calls and determine the most suitable call recipient.
  • Ability to problem-solve basic issues with the telephone system.
  • Considerable knowledge of correct spelling, grammar, and vocabulary usage.
  • Considerable knowledge of modern office practices and procedures.
  • General knowledge of the rules, regulations, procedures, and functions of the office to which assigned.
  • Ability to deal with people in a tactful and effective manner and to use judgment and discretion in giving out or withholding confidential information.
  • Ability to perform assignments on the basis of general outlines or directions without specific instructions as to details and to perform continuing assignments independently.
  • Ability to use word processing software to type material of any degree of difficulty at an average speed.
  • Ability to perform multiple tasks at one time.
  • Knowledge of the use of general office equipment.
  • Ability to exercise independent judgment and initiative in completing work assignments.
  • Ability to record general mailbox greetings and change them from remote locations.
  • Graduation from high school.
  • One year of experience in secretarial functions.
  • Ability to lift mail and boxes up to ten pounds.
  • Ability to sit at a computer for extended periods of time.
  • Ability to speak and/or signal people to convey or exchange information.
  • Ability to apply common sense understanding to carry out instructions furnished in written or oral form.
  • Ability to record and deliver information, to explain procedures, to follow oral and written instructions.
  • Ability to communicate effectively and efficiently in Standard English.
  • Ability to add, subtract, divide and multiply.
  • Ability to coordinate hands and eyes rapidly and accurately in using a keyboard.
  • Ability to deal with people beyond giving and receiving instructions.
  • Ability to perform under minimal varying levels of stress.
  • Ability to talk, write and hear.

Nice To Haves

  • Preference given to an Associate's degree in secretarial science or office management.
  • Experience in a public school setting is a bonus but not required.

Responsibilities

  • Greets all visitors courteously, determines their needs, checks appointments, and directs or escorts them to the proper person.
  • Answers school system telephone and responds appropriately to requests for information.
  • Assist parents and students with sign-in and sign-out procedures.
  • Performs other related work as required/assigned.
