Requirements

  • High school diploma and 1 year work experience
  • Strong time management skills; punctual
  • Flexible schedule with last-minute change capability
  • Fluent English reading, writing, and speaking skills

Responsibilities

  • Primary backup to the Administrative Support position, covering breaks and time off.
  • Deliver a courteous and professional experience to all individuals interacting with corporate reception, whether in person or by telephone.
  • Operate a multi-line telephone system efficiently.
  • Provide both new badges and replacements for employees and contractors.
  • Supervise visitor access and issue badges as needed.
  • Update contractor badge expiration dates every 90 days, confirm ISN compliance.
  • Monitor visitors using the visitor management system.
  • Manage outgoing and incoming mail, maintaining both the mailroom and mailbox directory.
  • Utilize a personal vehicle to collect U.S. postal mail from company PO boxes daily, except on federal holidays.
  • Act as point of contact for Headquarters & Innovation Center building maintenance and housekeeping concerns from employees, coordinating communication with Facilities and submitting purchase requisitions and work orders as needed.
  • Represent the company and corporate office positively by demonstrating The Hilmar Way.
