About The Position

This onsite Receptionist role in Santa Clara provides a professional and welcoming first point of contact for everyone entering the building. You will manage front desk operations, support visitors and employees, and coordinate key office services to ensure a smooth and efficient workplace experience. This is a 3‑month assignment with standard weekday hours and the possibility of extension.

Requirements

  • 1–2 years of experience in a receptionist, customer service, administrative support, or related role.
  • Strong customer service skills with the ability to interact professionally with guests, clients, and employees.
  • Excellent verbal and written communication skills.
  • Demonstrated punctuality and reliability in previous roles.
  • Ability to work effectively as a team player and collaborate with colleagues.
  • Professional demeanor and ability to maintain a polished and appropriate appearance at the front desk.
  • Proficiency with Microsoft 365, including Word, Excel, PowerPoint, and related applications.
  • Experience using Outlook for email management and calendar scheduling.
  • Familiarity with Microsoft Teams for chat, meetings, and collaboration.
  • Ability to perform basic computer functions such as file management, printing, and internet browsing.
  • At least a high school diploma or GED.

Nice To Haves

  • Experience in office and soft services environments is beneficial.

  • Comfort working in a fast-paced environment with frequent interactions and changing priorities.
  • Strong organizational skills and attention to detail when managing visitors and meeting room schedules.

Responsibilities

  • Serve as the first point of contact for all individuals entering the building and represent the organization with a professional, friendly, and welcoming demeanor.
  • Maintain a clean, organized, and professional reception area that reflects the company’s standards.
  • Answer, screen, and route incoming calls promptly and accurately to the appropriate contacts or departments.
  • Greet and assist guests, clients, and visitors upon arrival, ensuring they feel supported and informed.
  • Provide clear directions or personally escort visitors to their meeting locations as needed.
  • Ensure all visitors are properly signed in, accounted for, and comply with established check-in procedures.
  • Respond to in-person and phone inquiries with a helpful, courteous, and solution-oriented attitude.
  • Maintain a high level of customer service to uphold and reflect the company’s service standards.
  • Assist visitors and temporary staff with badge creation and access setup in accordance with established processes.
  • Follow and enforce security protocols during visitor check-in and check-out to help maintain a safe environment.
  • Manage bookings for conference and meeting rooms, including scheduling and updating reservations.
  • Ensure meeting rooms are prepared, presentable, and equipped with necessary resources before scheduled meetings.
  • Use Microsoft 365, Outlook, and Microsoft Teams to manage calendars, communications, and basic administrative tasks.
  • Perform general administrative and office support duties as needed to assist the broader team.
  • Collaborate effectively with team members and other departments to support daily operations and a positive workplace experience.
  • Arrive on time and reliably cover the reception desk during scheduled hours from 8:00 am to 5:00 pm, Monday through Friday.
