About The Position

The Receptionist provides high-level administrative and front desk support by greeting and directing visitors, handling information requests, managing incoming calls, and performing a variety of clerical and office coordination tasks. This role ensures a professional and welcoming first impression while maintaining organized, efficient, and confidential administrative operations.

Requirements

  • Strong verbal and written communication skills to interact clearly and professionally with visitors, callers, and colleagues.
  • Proven multi-tasking abilities to handle calls, visitors, and administrative tasks simultaneously.
  • Demonstrated customer service skills with a professional and courteous demeanor.
  • Effective interpersonal skills to build positive working relationships across the organization.
  • Ability to work independently with minimal supervision while managing one’s time efficiently.
  • Strong organizational skills with the ability to keep information, records, and files structured and accessible.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Previous experience using computer applications such as Microsoft Word, Excel, and PowerPoint.
  • High school diploma or equivalent.
  • Approximately 10 years of experience in reception, front desk, or clerical roles.

Nice To Haves

  • Experience in a front desk or corporate reception environment is highly beneficial.
  • Familiarity with operating a multi-line telephone or console switchboard.
  • Comfort working with office equipment such as photocopiers, printers, and binding machines.
  • Strong attention to detail when managing visitor logs, call records, and courier packages.
  • Proactive approach to identifying and addressing administrative needs within the office.

Responsibilities

  • Greet and professionally direct visitors, ensuring they feel welcome and are guided to the appropriate person or location.
  • Provide accurate information to visitors and callers, answering questions and addressing inquiries in a courteous and timely manner.
  • Answer and manage the telephone or console switchboard, routing calls and taking messages as needed.
  • Receive, log, and send packages via couriers, ensuring items are handled and distributed promptly and accurately.
  • Maintain an up-to-date visitor log and/or call record to support security and administrative reporting.
  • Issue and track security passes and badges for visitors and guests in accordance with site procedures.
  • Perform typing, filing, and other general clerical functions to support daily office operations.
  • Maintain and manage the boardroom schedule, including booking meetings and resolving scheduling conflicts.
  • Ensure boardroom equipment is available, functioning, and set up as needed for meetings.
  • Provide administrative support such as photocopying, binding documents and books, and preparing and assembling mailers.
  • Handle sensitive information with discretion and maintain strict confidentiality at all times.
  • Organize and prioritize tasks to manage time effectively in a fast-paced environment.
